About the position

Vesta Realty is seeking a dedicated and motivated Assistant Property Manager to join our team in Jenks, OK. This full-time position is essential in promoting community engagement and ensuring the smooth operation of our residential property management division. As an Assistant Property Manager, you will work closely with the Property Manager to lease apartments to prospective residents and maintain positive relationships with current residents. Your role will involve effective follow-up systems for both prospects and residents, ensuring that all documentation is accurate and compliant with regulations. In this position, you will be responsible for monitoring and collecting accounts receivable, managing delinquencies, and compiling accounts payable for the Property Manager's review. You will assist with apartment turnover activities, including determining charges for damages, scheduling necessary work, and conducting walk-throughs of apartments after move-out and prior to move-in. Your ability to communicate effectively and provide excellent customer service will be crucial in handling resident issues, including work orders and complaints. Additionally, you will assist in preparing weekly and monthly reports for the Property Manager, help with marketing efforts, and ensure that office supplies are adequately stocked. This role requires a strong customer service orientation, good people skills, and the ability to adapt to the needs of the community. You will also have the opportunity to assist in planning and hosting resident activities, contributing to a vibrant community atmosphere. This is an onsite position, and you will be expected to perform the duties of the Property Manager or Leasing Consultant in their absence, showcasing your leadership capabilities and commitment to the success of Vesta Realty.

Responsibilities

  • Promote community engagement and work with prospects and current residents to lease apartments.
  • Participate in effective follow-up systems for prospects and current residents.
  • Monitor and collect accounts receivable and delinquencies.
  • Compile accounts payable for the Property Manager's review.
  • Assist with apartment turnover activities, including determining charges for damages and scheduling turnover work.
  • Assist with leasing, renewals, and re-certification processes.
  • Ensure all documentation is correct and compliant with regulations.
  • Monitor and deposit money, track and reduce delinquency, and prepare eviction notices and files for attorneys.
  • Assist the Manager with weekly and monthly reports for review and approval.
  • Conduct walk-throughs of apartments after move-out and prior to move-in.
  • Work with maintenance to ensure timely completion of work orders.
  • Handle resident issues, including work orders and complaints.
  • Conduct service follow-up calls to assure customer satisfaction.
  • Help prepare community newsletters, resident correspondence, and marketing materials.
  • Assist in coding invoices and purchase orders, and deal with vendors.
  • Obtain inventory for office supplies, including kitchen and restroom supplies.
  • Supervise, monitor, and evaluate office staff as needed.
  • Plan, prepare, and host resident activities.
  • Perform duties of Property Manager and/or Leasing Consultant in their absence.
  • Perform other duties as assigned.

Requirements

  • Good communication skills, both oral and written.
  • Basic math, office, and computer skills.
  • Basic knowledge of or ability to learn Excel, Word, and property management software such as Yardi, Rent Roll, ResMan, etc.
  • Knowledge of apartment turnover operations.
  • Valid driver's license and reliable transportation.
  • Knowledge of Federal, State, and Local Laws pertaining to Landlord/Tenant Laws.
  • Strong customer service orientation.
  • Good people skills.
  • Ability to be flexible with time to fit the needs of the community.
  • Ability to walk, climb stairs, reach, grasp, bend, and lift up to 30 pounds.
