About the position

The Assistant Property Manager will support the property management team in ensuring smooth operations and providing excellent customer service. This role involves a variety of administrative tasks, tenant relations, and coordination of maintenance and vendor services, all while maintaining compliance with Fair Housing regulations.

Responsibilities

  • Assist in the daily operations of property management, including tenant relations and administrative tasks.
  • Assist Property Manager with coordination and follow-up of maintenance, housekeeping, contractors & vendors to ensure timely completion.
  • Provide exceptional customer service by addressing tenant inquiries and resolving issues promptly.
  • Maintain knowledge of Fair Housing regulations to ensure compliance in all interactions.
  • Support the upselling of available units and amenities to prospective tenants through lead follow-up & tracking, speaking with walk-ins and giving tours.
  • Ensure all model apartments and any other available apartments are clean and available to show.
  • Collect & submit completed rental applications for processing.
  • Contact applicants once processing is completed.
  • Prepare & assemble lease paperwork & welcome folders.
  • Meet with incoming tenants for lease signings & answer their questions.
  • Collect rent and assist manager with follow-through to delinquent tenants.
  • Assist with marketing efforts for vacant apartments, including social media promotion & open house events.
  • Ensure timely updates of vacant apartments on ad sites such as Zillow, Rent.com & Craigslist.
  • Ensure all promotional literature is up-to-date.
  • Perform market studies & surveys.
  • Assist Property Manager with final walk-throughs of newly rented units.
  • Assist Property Manager with walk-throughs of recently vacated units.
  • Maintain professional rapport with tenants to ensure retention.
  • Manage office tasks such as filing, data entry, and maintaining accurate records.
  • Assist Property Manager with regular assessment of entire property, including amenities regarding cleanliness, maintenance needs and overall appeal.
  • Collaborate with the property management team to implement policies and procedures that enhance operational efficiency.
  • Create community events for tenants alongside manager.

Requirements

  • At least 2-3 years previous experience in apartment leasing or real estate administration.
  • Strong customer service skills with a focus on phone etiquette and effective communication.
  • Familiarity with office procedures and administrative tasks related to property management.
  • Knowledge of property maintenance processes is a plus.
  • Ability to work independently as well as part of a team in a fast-paced environment.
