The Assistant Supervising Deputy Clerk position at the Newport News General District Court involves a range of responsibilities under the general supervision of the Supervising Deputy Clerk. The Assistant Supervising Deputy Clerk is responsible for developing work methods and procedures, recommending procedural changes, and training both new hires and experienced deputy clerks in their respective assignments. The position requires a proactive approach to managing court operations and ensuring compliance with established policies and procedures. In this role, the Assistant Supervising Deputy Clerk will assist with day-to-day operations, perform quality control to ensure the accuracy of court records, and advise staff on procedural questions and supervisory issues. The position also involves contributing to the efficiency and effectiveness of the department's service to its customers by actively participating as a member of the General District Court team. The Assistant Supervising Deputy Clerk will develop and implement training guidelines for new hires and maintain records management, ensuring that dockets are prepared timely and that all casework policies are adhered to. Additionally, the role includes processing and assessing fines, costs, fees, and other financial requirements related to court hearings. Maintaining a positive work atmosphere is essential, as the Assistant Supervising Deputy Clerk will interact with customers, employees, judges, and other stakeholders. Regular attendance and punctuality are also critical components of this position, along with assisting supervisory staff with various daily tasks as needed.

Responsibilities

  • Supervise, assist, coordinate, review, and evaluate the assigned division.
  • Develop work methods and procedures and recommend procedural changes.
  • Train new hires and experienced deputy clerks in current and new areas of assignments.
  • Perform quality control to ensure accuracy of court records.
  • Advise staff regarding questions of procedures and supervisory issues.
  • Contribute to the efficiency and effectiveness of the department's service to customers.
  • Develop and implement training guidelines for new hires and reference guides for established employees.
  • Manage all aspects of docket and courtroom management, ensuring timely preparation of dockets.
  • Open, stamp, distribute, and assist with researching incoming filings and documents.
  • Process and assess fines, costs, fees, and other financial requirements related to court hearings.
  • Maintain a positive work atmosphere by communicating positively with customers and staff.
  • Assist Supervising Deputy Clerk and supervisory staff with daily miscellaneous tasks.

Requirements

  • A minimum of three years of experience in a General District Court or equivalent in a management position that is non-court related.
  • Basic knowledge of principles and practices of employee supervision, including selection, work planning, organization, performance review and evaluation, and employee training and discipline.
  • Knowledge of principles and practices of developing teams, motivating employees, and managing in a team environment.
  • Knowledge of legal office management, practices, and procedures including records management and operation of standard office equipment.
  • Knowledge of applicable laws, codes, terminology and regulations related to court operations.
  • Knowledge of correct business English, including spelling, grammar, and punctuation.
  • Skilled in developing and implementing goals, objectives, policies, procedures and work standards.
  • Ability to plan, organize, supervise, review, and evaluate work of others.
  • Ability to keep confidential information private regarding employee personnel matters and sensitive administrative matters.
  • Ability to understand, apply and explain court and legal procedures and train others in policies and procedures related to work.
  • Ability to prepare and review clear and concise reports, procedures, and correspondence.
