About the position

We are seeking a highly organized and proactive Assistant to provide comprehensive administrative support to our COO. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to handle multiple tasks efficiently.

Responsibilities

  • Manage the COO's calendar, including scheduling meetings and appointments.
  • Coordinate travel arrangements and prepare detailed itineraries.
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Assist in preparing reports, presentations, and other business documents.
  • Maintain confidentiality of sensitive information.
  • Act as the first point of contact for the COO, providing excellent customer service.
  • Transcribe meeting minutes and follow up on action items.
  • Utilize software such as Outlook Calendar, DocuSign, Powerpoint for various tasks.
  • Perform front desk duties as needed.

Requirements

  • Proven experience as an Assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to prioritize tasks and work under pressure.
  • Familiarity with phone systems and etiquette.
