About the position

The Administrative Assistant to the Director at the Glassell School of Art plays a crucial role in supporting the Director and ensuring the smooth operation of the school. This position involves providing high-level administrative support, managing communications, organizing meetings, and coordinating events, all while fostering a productive environment that aligns with the school's mission of promoting artistic excellence and education.

Responsibilities

  • Compose and manage correspondence, including drafting and editing documents for the Director.
  • Provide comprehensive administrative support, including typing, record-keeping, and meeting preparation.
  • Organize and compile annual performance reviews for the Director's assessment.
  • Arrange travel for the Director and handle related receipts and expense documentation.
  • Monitor and manage details and deadlines for projects associated with the Glassell School of Art.
  • Coordinate with the MFAH Development Department for donor correspondence and acknowledgements.
  • Take detailed notes during strategic meetings for the Director.
  • Maintain the Director's calendar and manage incoming communications.
  • Compile and prepare materials for the MFAH Annual Report.
  • Develop presentations and media materials for the Director's use.
  • Coordinate all aspects of the Glassell School Executive Committee activities.
  • Participate in various internal committees and document meeting notes.
  • Serve as the main point of contact for the Annual Glassell Benefit and Auction, overseeing event coordination.
  • Assist with maintaining up-to-date information on spending and revenue for the Glassell School of Art.

Requirements

  • Bachelor's degree in an appropriate field of study or equivalent experience.
  • Two or more years of experience providing administrative support to executives.
  • Strong writing and editing skills.
  • Solid organizational and communication skills.
  • Proficient in Microsoft Office and Adobe Creative Suite.
  • Ability to maintain confidentiality and discretion.
  • Exceptional computer skills and knowledge of social media.

Nice-to-haves

  • Knowledge of or comfort with Photoshop or Adobe Creative Suite.
  • Experience with general accounting/budgeting processes.
