About the position

The Senior Administrative Support Specialist at Friends of the Children-Los Angeles provides comprehensive administrative support to the Chief Executive Program Officers. This role is essential in organizing and anticipating the needs of the executive team, facilitating communication, and ensuring effective operations within the organization. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently while supporting the organization's mission to improve outcomes for youth and families experiencing generational poverty.

Responsibilities

  • Provide general administrative support to the Executive Program Team, including drafting and editing documents, managing communications, and organizing meetings.
  • Prepare presentations and materials for training and meetings, ensuring all necessary documentation is accurate and complete.
  • Manage organizational and executive calendars, scheduling internal and external meetings as assigned.
  • Facilitate communication and build relationships with partners, volunteers, and staff to ensure effective collaboration.
  • Assist in data management and quality assurance, compiling and analyzing data related to program outcomes and effectiveness.
  • Support the development and implementation of internal training programs based on data-driven insights.
  • Assist in grant monitoring and report preparation, ensuring fidelity across sites.

Requirements

  • Bachelor's degree or equivalent experience required.
  • Five years' experience in administrative support positions, including experience at a senior or executive support level.
  • Strong technical skills in Office 365, Microsoft Office suite (Word, Excel, PowerPoint, and Outlook), Teams, and Adobe Acrobat.
  • Valid California driver's license and acceptable driving record.

Nice-to-haves

  • Bilingual Spanish preferred.
  • Desktop publishing and design experience.
  • Experience supporting executive leaders.
  • Experience working at a nonprofit organization is preferred.
  • Two to three years of experience working with vulnerable youth and families impacted by foster care.
