About the position

The Assistant to the Dean at the University of Oklahoma Graduate College plays a crucial role in providing administrative support to the Dean and facilitating the mission of the Graduate College. This position involves managing the Dean's calendar, coordinating various projects, and planning events that support graduate students. The role also includes responsibilities as the Graduate Council Secretary, where the individual will review course changes, schedule meetings, and prepare agendas. The Assistant will engage with graduate students through events like the Three Minute Thesis Competition and the Design a Shelf Contest, contributing to the overall student experience.

Responsibilities

  • Perform complex administrative duties for the Dean.
  • Direct and coordinate daily operations of the office or program.
  • Act as a liaison with internal and external agencies, compiling data and statistics.
  • Plan events and special projects.
  • Provide administrative assistance to the Dean, including travel arrangements and meeting setups.
  • Work with other departments across campus.
  • Order and track supplies, solving departmental problems as they arise.
  • Manage daily operations of the office or program.
  • Assist the Dean with hiring and termination of office staff.
  • Delegate tasks and act as the lead employee when necessary.
  • Prepare monthly reports and distribute them to appropriate personnel.
  • Coordinate and carry out projects requiring initiative and specialized knowledge.
  • Provide information or counseling to students and employees.
  • Independently respond to surveys and requests for information.
  • Analyze problems and carry out special assignments.

Requirements

  • Bachelor's degree and 60 months of experience managing an office or program for a Dean, Director, or other leadership role.
  • Alternatively, 48 months of related experience in lieu of the Bachelor's degree for a total of 108 months of related experience.
  • Demonstrated proficiency with Microsoft Office Suite, internet browsers, and Adobe Acrobat Pro.
  • Excellent proofreading and document preparation skills.
  • Strong interpersonal skills and ability to work independently or as part of a team.
  • Detail-oriented with strong organizational skills.
  • Ability to multitask and work under stress and deadlines.
  • Effective verbal and written communication skills.
