About the position

The Assistant to the Executive Vice President and CFO provides direct administrative support to the Executive Vice President and assists in various activities within the Finance and Administration Division. The role focuses on ensuring that the EVP's priorities are addressed in a timely manner and that their time is utilized effectively on critical strategic issues.

Responsibilities

  • Provide direct administrative support to the Executive Vice President, including maintaining the EVP's calendar, organizing travel plans, and managing correspondence.
  • Prepare and distribute meeting agendas and materials, and take minutes for meetings attended by the Executive VP.
  • Support the Executive VP with special projects, including research, preparing reports, and coordinating with other departments.
  • Assist with budget requests, allocations, and documentation.
  • Coordinate submissions of data for compliance with federal, state, and regional regulatory reporting requirements.
  • Assist in the coordination of annual audits and vendor scheduling.
  • Handle confidential matters and maintain professional interactions with various departments.

Requirements

  • Bachelor's degree in Business Administration, Writing, or a related field.
  • 3-5 years of relevant clerical and administrative experience in an administrative assistant role.
  • Experience in administrative and personnel management, strategic data management, project planning, and budget management.
  • Strong written and verbal communication skills, attention to detail, and ability to handle multiple priorities under strict deadlines.
  • High proficiency in Microsoft Office Suite, especially Word, Excel, Outlook, and PowerPoint.

Nice-to-haves

  • Familiarity with Banner database or similar database program.
