About the position

The Assistant to the Executive Vice President and CFO is a pivotal role within New England College, primarily focused on providing comprehensive administrative support to the Executive Vice President (EVP) and CFO. This position is designed to enhance the efficiency of the EVP's daily operations, ensuring that critical priorities are addressed promptly and effectively. The assistant will play a crucial role in managing the EVP's calendar, organizing travel arrangements, and handling various administrative tasks that facilitate the smooth functioning of the Finance and Administration Division. In this role, the assistant will be responsible for maintaining the EVP's calendar and schedule, which includes organizing travel plans and managing incoming correspondence. This involves sorting and prioritizing mail, answering phone calls, and generating letters and memos. Additionally, the assistant will prepare and distribute meeting agendas and materials, as well as take minutes during meetings such as Trustee meetings and Budget Advisory Committee sessions. The assistant will also support the EVP with special projects, which may include gathering background information, researching issues, and preparing executive summaries and reports. This role requires coordination with other departments to secure necessary materials and documentation, particularly in relation to budget requests and allocations. Furthermore, the assistant will ensure compliance with federal, state, and regional regulatory reporting requirements, assisting in the coordination of the annual A-133, 403(b), and financial audits. Handling confidential matters and maintaining a high level of professionalism is essential, as the assistant will interact with various departments within the college and manage sensitive information.

Responsibilities

  • Provide direct administrative support to the Executive Vice President, including maintaining the EVP's calendar and schedule.
  • Organize travel plans for the Executive Vice President.
  • Open, sort, and prioritize incoming mail for the Executive Vice President.
  • File documents, answer phone calls, and generate letters/memos and correspondence as needed.
  • Prepare and distribute agendas and other materials for meetings, including taking minutes for meetings called by or staffed by the Executive Vice President.
  • Support the Executive Vice President with special projects, including gathering background information and preparing executive summaries and reports.
  • Assist with budget requests, allocations, and documentation for the Executive Vice President.
  • Coordinate submissions of data and materials to ensure compliance with federal, state, and regional regulatory reporting requirements.
  • Assist in the coordination of the annual A-133, 403(b), and financial audit.
  • Coordinate scheduling of outside vendor work to ensure efficient use of resources.
  • Handle confidential matters for the Executive Vice President as requested.

Requirements

  • Bachelor's degree in Business Administration, Writing, or a related field required.
  • 3-5 years of relevant clerical and administrative experience in an administrative assistant role.
  • Experience in administrative and personnel management, strategic data management, project planning and management, and budget planning and management.
  • Ability to handle multiple priorities, meet strict deadlines, and achieve defined goals.
  • Strong written and verbal communication skills, organizational skills, and attention to detail.
  • Highly professional demeanor and respect for confidentiality are required.
  • High level of proficiency with Microsoft Office, especially Word, Excel, Outlook, and PowerPoint, is required.
  • Familiarity with Banner database or similar database program is desired.
