About the position

The Executive Assistant role at Technologies, Inc. is a pivotal position that provides direct support to the Group GM of the Connectivity, Broadband & Networking (CBN) Business Unit. This role requires a highly organized and proactive individual who can thrive in a fast-paced, global environment. The Executive Assistant will be responsible for sophisticated calendar management, prioritizing inquiries and requests, and troubleshooting conflicts related to external engagements such as board meetings and high-profile events. The ability to adapt quickly to last-minute changes and keep all stakeholders informed is crucial. In addition to calendar management, the Executive Assistant will manage complex travel arrangements, including both domestic and international travel, utilizing commercial and private aviation options. The role encompasses a broad range of administrative tasks, including maintaining contact lists, completing expense reports, and serving as a point of contact for internal and external stakeholders on matters related to the Group GM. This position requires a high level of discretion and integrity, as the Executive Assistant will handle confidential and critical information. The Executive Assistant will also be involved in various organizational projects, including managing the SharePoint site and coordinating events for Bay Area employees. This aspect of the role involves collaboration with other volunteers to create engaging programs and events that benefit the Santa Clara workforce. The ideal candidate will possess strong communication skills, agility in problem-solving, and resilience under pressure, ensuring effective collaboration with executive leaders and other administrative professionals.

Responsibilities

  • Provide sophisticated calendar management for the CBN Group GM, prioritizing inquiries and requests while troubleshooting conflicts.
  • Manage complex domestic and international travel arrangements, including bookings on commercial and private airplanes.
  • Complete a variety of administrative tasks, such as maintaining contact lists and completing expense reports.
  • Serve as a point of contact for internal and external constituencies regarding matters related to the Group GM, exercising judgment in handling confidential information.
  • Lead and collaborate on organizational projects, including managing the SharePoint site and coordinating Bay Area site events.

Requirements

  • Bachelor's degree and 4+ years of Administrative Assistant or related work experience, OR an Associate's degree and 6+ years of experience, OR a High School Diploma with 8+ years of experience.
  • Exceptional organizational skills and attention to detail.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Experience with international travel.

Nice-to-haves

  • 6+ years of experience in an executive assistant role supporting Executive or C-Level executives at a Fortune 500 company preferred.
  • Completed advanced degrees in a relevant field may substitute for up to two years of work experience.
