About the position

As an Associate in Accounting & Payroll at Communities In Schools (CIS), you will play a crucial role in ensuring the accuracy and timeliness of payroll processing for our organization. Your responsibilities will include reviewing timecards for accuracy, preparing and processing multiple payrolls, including ad hoc special payroll requests, and reconciling monthly leave bank balances for each employee. You will also be tasked with preparing monthly payroll entries and reconciliations, as well as reviewing and maintaining 403b contributions, loan payments, and 457(b) and (f) contributions to ensure the accuracy of the integration between our retirement plan and payroll provider. This position requires a high degree of confidentiality and attention to detail, as you will collaborate closely with the HR Department and Paylocity. In this role, you will ensure that pay is processed on time and in compliance with federal and multi-jurisdictional regulations, as well as organizational policies and practices. You will enter and maintain employee data within Paylocity, ensuring accurate and timely processing of payroll updates, including new hires, terminations, changes to pay rates, and payroll taxes. You will also coordinate workflow to ensure all payroll transactions are processed accurately and timely, prepare various payroll reports, and resolve any payroll-related questions. Additionally, you will be responsible for maintaining the integrity of payroll-related data across various payroll sub-systems, submitting payments through Mutual of America, and running payroll feedback files to ensure accuracy. You will provide training and support to staff and supervisors on payroll and timekeeping responsibilities, maintain communication regarding timesheet submissions, and identify and recommend improvements in procedures and efficiencies within the payroll systems. Your role will also include accounting support duties such as gathering information for audits and reconciling payroll withholding and accrued leave accounts.

Responsibilities

  • Review timecards for accuracy and completeness.
  • Prepare and process multiple payrolls, including ad hoc special payroll requests.
  • Reconcile monthly leave bank balances for each employee.
  • Prepare monthly payroll entries and reconciliations.
  • Review and maintain 403b contributions, loan payments, and 457(b) and (f) contributions.
  • Ensure pay is processed on time and in compliance with regulations and policies.
  • Enter and maintain employee data within Paylocity.
  • Process semi-monthly payroll, deductions, and related adjustments.
  • Coordinate workflow to ensure accurate and timely payroll transactions.
  • Prepare various payroll reports as requested.
  • Resolve payroll questions regarding leave balances, timesheet entry, and W2 inquiries.
  • Serve as primary contact for payroll systems issues.
  • Assure integrity of payroll data in various sub-systems.
  • Submit 457(b) and (f) payments through Mutual of America.
  • Run payroll feedback files to compare with Paylocity data.
  • Review and approve file feeds from Voya to Paylocity.
  • Create a retirement schedule each pay period and review payroll registers.
  • Process PTO calculation corrections and reconcile PTO balances monthly.
  • Provide training and support to staff on payroll responsibilities.
  • Maintain the annual timekeeping and payroll schedule.
  • Identify and recommend improvements in payroll procedures and efficiencies.

Requirements

  • High school diploma/GED required; Bachelor's degree in business administration, finance, or accounting preferred.
  • Minimum three years' experience processing payroll for a multi-state organization, including CA, DC, NY, and TX, preferably in a non-profit setting.
  • Experience working with Paylocity, ADP, or other cloud-based payroll software.
  • Experience with or knowledge of accounting principles.
