About the position

The Associate Athletic Director at Texas A&M University plays a crucial role in the management and vision of the Athletic Internal Operations Office. This position is responsible for overseeing the day-to-day operations and ensuring the continual growth of the office as a service to the Athletic Department. The Associate Athletic Director will also supervise the Senior Associate Athletic Director & CFO, particularly in financial matters related to the Athletic Department. This role requires a strong background in both athletic administration and accounting, with a focus on creating and managing financial reports, ensuring compliance with NCAA regulations, and coordinating internal operations effectively. In terms of financial responsibilities, the Associate Athletic Director will oversee the creation of monthly financial reports and reconciliations for all Athletic Department accounts. This includes reviewing and approving financial reports and ensuring that all necessary data is submitted to the United States Department of Education and the NCAA as required. The position also involves planning and executing external audits and managing bonded indebtedness schedules in coordination with the University Fiscal Office. The Associate Athletic Director will also be responsible for internal operations coordination, which includes managing the Business Activities Office and improving efficiencies and workflows. This role requires collaboration with various department heads to ensure that budgets are on target and compliance with NCAA and university regulations is maintained. The Associate Athletic Director will also oversee analytical projects and expense tracking for facility renovations and coaching staff transitions, ensuring that all financial activities align with the department's goals and objectives.

Responsibilities

  • Oversee the creation of monthly financial reports and reconciliations for all Athletic Department accounts.
  • Review and approve monthly and annual financial reports and distribute them to the CFO, Director of Athletics, the President, and the Board of Regents as requested.
  • Compile financial data required for submission to the United States Department of Education as per the Equity in Athletics Disclosure Act and Title IX.
  • Perform final review of financial data submitted on the USDE online portal by the deadline.
  • Compile financial data required for submission to the NCAA as mandated under NCAA Bylaw 3.2.4.15.
  • Plan and execute the external NCAA Agreed Upon Procedures audit with external auditors.
  • Review and approve Deferred Revenue and Prepaid Expenses to ensure accurate financial statements.
  • Coordinate bonded indebtedness schedules with the University Fiscal Office and System Financial Office.
  • Reconcile athletics temporary working fund monthly through Quicken software.
  • Oversee the day-to-day vision and management of the Athletic Internal Operations Office.
  • Coordinate the continual improvement of efficiencies and workflows in the Business Office.
  • Conduct bi-annual budget meetings with head coaches and department heads to ensure budgets are on target.
  • Ensure compliance with NCAA, Conference, and University rules and regulations regarding student-athletes.
  • Oversee analytical projects for the athletic department as needed.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Five years of athletic administration experience including three years in public or private accounting experience.
  • Strong customer service and communication skills.
  • Ability to work in a collaborative team environment.

  • Applications experience: Laserfiche, Excel, Word, Access.
  • Knowledge of NCAA and SEC Conference rules and regulations.
