About the position

The Associate Athletic Director for Administration at St. Mary's College of California is responsible for overseeing administrative support for the Vice President of Intercollegiate Athletics and managing a staff of over 80 individuals. This role involves handling sensitive documents, facilitating human resources processes, and ensuring smooth operations within the Athletic Department. The position requires strong organizational and communication skills, as well as the ability to work collaboratively with various departments and stakeholders.

Responsibilities

  • Develop, manage, and oversee all administrative support for the Vice President of Intercollegiate Athletics.
  • Manage and facilitate sensitive and confidential documents/processes including game contracts and personnel files.
  • Update the Athletic Department Policy and Procedure Manual.
  • Oversee all summer camp staff and support areas as the lead assistant to the Deputy AD for External Relations.
  • Communicate daily with various athletic departments to ensure smooth competition operations.
  • Create, manage, and facilitate sensitive documents and contracts for the VP of Intercollegiate Athletics and other areas in the Athletic Department.
  • Complete all competition contract transactions and manage business office processes for the Deputy AD for Internal Operations.
  • Partner with the SMC Human Resources Department for new hire paperwork and compliance training.
  • Oversee and facilitate all athletic sports camp hiring throughout the year, particularly during the summer months.
  • Monitor the Athletic Department Courtesy Vehicle program and facilitate related communications.
  • Organize and facilitate Athletic staff and coach meetings and functions.

Requirements

  • Bachelor's degree in a relevant field.
  • Three to five years of administrative experience in Athletics.
  • Proficiency with word processing and presentation software.
  • Strong interpersonal skills to interact with coaches, administrators, staff, donors, and media.
  • Excellent oral and written communication skills.
  • Ability to maintain confidentiality and use discretion.
  • Strong organizational skills to handle multiple tasks and priorities.
  • Ability to work independently.

Nice-to-haves

  • Experience with NCAA regulations and compliance processes.
  • Familiarity with event planning and management.
