About the position

The Associate Athletic Director, Events and Operations will play a crucial role within the University of San Francisco Athletic Department, serving as a key member of the Senior Leadership Team. This position is primarily responsible for managing all aspects of the department's games and events, ensuring that they run smoothly and efficiently. The individual will oversee the operations assistant, graduate assistant, and student game staff, collaborating closely with various teams including the GDE Team, Assistant Athletics Director of Marketing and Fan Engagement, and Assistant Athletics Director of Ticket Sales to coordinate Gameday processes and procedures. In addition to event management, the Associate Athletic Director will act as the sport supervisor for assigned sports and represent the University at NCAA and WCC events as required. The role involves managing the game operations budget, which includes overseeing student wage budgets and ensuring compliance with athletics department policies related to contests, operations, and facilities. The individual will also be responsible for the setup and breakdown of all athletic contests and events, managing venue-based communication systems, and maintaining vigilance regarding university, Athletic Department, and NCAA rules and regulations. The position requires the investigation and documentation of complaints related to games and events, including customer service and crowd control issues. The Associate Athletic Director will also liaise with visiting teams and officials, oversee the inventory and maintenance of athletic equipment, and coordinate with campus facilities and public safety departments to ensure safety and security during events. Additionally, the role includes overseeing sports camp operations and ensuring compliance with insurance requirements. This multifaceted position demands strong leadership, communication, and organizational skills, as well as the ability to manage multiple projects in a fast-paced environment.

Responsibilities

  • Direct all event management aspects of all University of San Francisco Athletic Department contests and events.
  • Supervise operations assistant, graduate assistant, and student game staff involved in game and event operations.
  • Manage game operations budget for athletics department including student wage budgets.
  • Administer athletics department policies pertaining to athletic contests, operations and facilities.
  • Work with coaches that host tournaments regarding responsibilities for those contests.
  • Responsible for set-up and breakdown of all Athletics contests and events.
  • Manage venue-based communications systems, including two-way radio needs, data and voice in support.
  • Investigate, document and report complaints regarding all aspects of games and events including customer service, crowd control and staff issues.
  • Produce work orders for the department with USF Facilities Department.
  • Directly communicate and schedule all maintenance and service needed to properly maintain and preserve all athletic facilities with USF Facilities.
  • Schedule locker rooms and practice times for non-tournament contests.
  • Liaison with visiting teams and officials for non-tournament contests.
  • Oversee the inventory, maintenance, purchase, and preservation of all necessary service equipment and athletic equipment.
  • Oversee Director of Equipment whilst working closely with the Associate Athletic Director for Business and Finance, and student staff managing team laundry and equipment.
  • Help formulate and implement Equipment Room policies and procedures.
  • Oversee Equipment Operations including student wage budgets, and the ordering and laundering of athletic apparel.
  • Assist in the administration of equipment contracts with service providers.
  • Liaison for matters of safety and security with campus facility and public safety department for Athletics contests and non-athletics events.
  • Lead with Campus Facilities and ABM maintenance pertaining to Athletics contest issues.
  • Serve as an ambassador for the Athletic Department and the University at select public functions.
  • Oversee and direct the procedures of sports camps involving program affiliated sports camps.

Requirements

  • Bachelor's degree required; Master's degree preferred.
  • At least five years of experience in intercollegiate athletics or related field.
  • A minimum of two years of work and increasing responsibilities in areas including budget, finances and related management experience required.
  • Thorough knowledge of NCAA rules and regulations and the application of those to all situations.
  • Excellent interpersonal, communication and written skills.
  • Ability to supervise and evaluate staff in an athletic department.
  • Ability to successfully manage multiple projects at once in a fast-paced environment.
  • Attendance at evening and weekend events is required.
