About the position

The Associate Community Manager at Keystone Pacific Property Management is responsible for providing exceptional customer service and administrative support within the onsite office in Rancho Santa Fe. This role involves managing telephone coverage, responding to customer service requests, and assisting the General Manager with various administrative duties. The position is designed for individuals looking to grow in a collaborative and supportive environment, contributing to the management of community associations and enhancing the overall resident experience.

Responsibilities

  • Provide telephone coverage and respond to customer service requests.
  • Perform administrative duties as requested by the General Manager.
  • Assist in inspections of onsite properties.
  • Maintain calendars and appointments, compose correspondence, and manage database information.
  • Extend exceptional customer service and problem resolution via phone and face-to-face interactions with board members and residents.
  • Coordinate meeting logistics as required.
  • Develop working relationships with community board members and homeowners.
  • Work with vendors to provide direction and collect bids.
  • Maintain accurate and current association records.
  • Assist in the preparation of monthly board packets in a professional manner.
  • Manage client calls and work order processes, addressing vendor and client issues.
  • Produce requested reports for board packets in an orderly manner.
  • Execute violation letters at the request of the General Manager.
  • Transcribe and type documents and letters as required.
  • Update and generate all required association and management reports.
  • Provide courteous customer service to walk-in homeowners and ensure their requests are addressed promptly.
  • Maintain a work order history log and issue work orders as needed.
  • Submit monthly orders and maintain office supplies.
  • Ensure cleanliness in the work environment and lobby.

Requirements

  • Valid California Driver's License.
  • Reliable transportation to drive to and from communities.
  • Ability to work under tight deadlines and consistently meet them.
  • Professional demeanor and attire at all times.
  • Effective oral and written communication skills.
  • Strong problem-solving abilities.
  • Proficiency in computer programs, including Word, Outlook, and Excel.
  • Demonstrated organizational skills and ability to prioritize workload independently.
  • Ability to work effectively with co-workers and clients.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills.

Nice-to-haves

  • 1-2 years of experience in a Customer Service role.
  • Bachelor's Degree preferred.
  • High School Diploma or GED required.
