About the position

The Associate Director, Foundation Finance plays a crucial role within the Development Department at the Hospital for Special Surgery (HSS). This position is responsible for managing the day-to-day operations related to accounting, vendor management, contracts, technology requisition, and other business administrative functions. The Associate Director will monitor expenses, process accounts payable, and manage the annual budgeting process, ensuring that all financial activities align with the department's goals and objectives. In addition to overseeing financial processes, the Associate Director will actively participate in the creation and implementation of operational policies, procedures, and processes that support the department's business and financial management. This role requires a strong understanding of financial and accounting principles, as well as the ability to engage effectively with various stakeholders, including donors, colleagues, and senior management. The position may be hybrid, with an expectation of being in the office three days a week, allowing for flexibility while maintaining essential in-person collaboration. The Associate Director will lead the financial processes, including reconciling corporate credit card transactions and overseeing financial data reconciliation across multiple systems such as STRATA, LAWSON, and Raiser's Edge. As HSS transitions to Workday in October 2024, the Associate Director will play a key role in advising on and managing the annual budgeting process, reviewing financial plans, and monitoring progress throughout the year. This position also involves establishing a document retention policy, managing technology assets, and providing training on financial processes within the department.

Responsibilities

  • Lead the day-to-day financial processes including reconciling corporate credit card and overseeing financial data reconciliation processes between all systems, STRATA, LAWSON, and Raiser's Edge.
  • Advise on and manage the annual budgeting process; review all financial plans and budgets while monitoring progress and changes throughout the year.
  • Serve as department contact for financial reporting for donor reports, account balances, endowment market values, 990, and capital reporting.
  • Establish and implement a document retention policy for the department that includes management of electronic, paper, and offsite storage.
  • Responsible for managing the technology (software/hardware) assets and the replacement processes.
  • Provide training on systems and procedures related to financial processes within the department.
  • Plan and oversee all accounting tasks in support of Foundation operations, including accounts payable, accounts receivable, cash management, and general ledger.
  • Monitor and maintain internal controls over accounting and fundraising operations.
  • Develop and monitor the Foundation's budget and financial plans, authorizes and approves Foundation expenditures, manages the annual external audit process and oversees annual tax return filing, manages contracts with outside consultants and vendors.
  • Assist with reporting and research for annual audit & 990 preparation in coordination with Finance.
  • Serve as a liaison to the Finance Department and track gift accounts to ensure proper fund allocation.
  • Conduct monthly reconciliation with Finance and coordinate with gift accounting on adjustments.
  • Responsible for the creation of new accounts for charitable revenue.
  • Prepare all transfer memos for moving of revenue.
  • Prepare monthly pledge and capital income reports for Finance Department.
  • Partner with Special Events to monitor revenue and expenses.
  • Provide training and maintain Gift Map database.
  • Serve as back-up on the payroll/time tracking system.

Requirements

  • Bachelor's degree from an accredited college or university, preferably in Accounting, Business Management or related field.
  • 3-5 years of experience in nonprofit financial management, preferably in an academic medical center or healthcare enterprise.
  • Understanding of financial and accounting principles, with experience in financial planning and reporting.
  • Proven ability to develop and implement strategic plans, manage projects, and support senior-level administrators.
  • Exceptional interpersonal, communication, and leadership skills, with the ability to engage effectively with donors, colleagues, and senior management.
  • Proficiency in financial, marketing, fundraising, and informational databases and IT systems, including MS Office, Workday and Raiser's Edge or Salesforce.
