About the position

The Vivien Thomas Scholars Initiative (VTSI) is a transformative program aimed at promoting STEM pathways and enhancing the growth of STEM PhD students from Historically Black Colleges and Universities (HBCUs) and other Minority Serving Institutions (MSIs). This initiative, backed by a generous $150 million gift from Bloomberg Philanthropies, is situated within the Office of the Provost at Johns Hopkins University (JHU). The Associate Director, Finance & Operations, will play a pivotal role in the financial and operational management of the VTSI, ensuring that the initiative meets its mission of nurturing and connecting exceptional talent from HBCUs and MSIs to create a significant impact both nationally and globally. In this full-time position, the Associate Director will collaborate closely with the Associate Vice Provost for Graduate Diversity and Partnerships (AVP) and various stakeholders across JHU. The role encompasses comprehensive fiscal and budgetary management for VTSI program activities, leading financial planning and analysis, overseeing data and administrative operations, and managing reporting requirements. The Associate Director will also be responsible for the financial and administrative management of external partnership agreements, ensuring that all operations align with the overarching goals of the initiative. The responsibilities of this role are diverse and include leading administrative operations, managing financial reporting, and ensuring compliance with university policies. The Associate Director will coordinate the development of budgets, monitor operational expenditures, and prepare financial reports for stakeholders, including Bloomberg Philanthropies and university leadership. Additionally, the position requires the management of data collection and analysis to support program evaluation and reporting, as well as the development of tools for financial forecasting and planning. This role is crucial for the successful execution of the VTSI's mission and for fostering an inclusive environment that supports graduate education and diversity.

Responsibilities

  • Lead administrative operations for the Vivien Thomas Scholars Initiative.
  • Plan and execute VTSI events with JHU leadership and external partners.
  • Direct administrative operations for recruitment and outreach activities.
  • Manage VTSI partnership agreements and coordinate fund disbursement.
  • Assist VTSI leadership with hiring and human resource needs.
  • Develop and revise policies and standard operating procedures for VTSI activities.
  • Coordinate the development of VTSI budgets and monitor operational budgets.
  • Prepare financial reports for Bloomberg Philanthropies and university leadership.
  • Manage accounts payable and receivable for VTSI initiatives.
  • Create and oversee management of contracts and financial commitments.
  • Analyze fiscal patterns to project future expenditures and revenue streams.
  • Lead collection and management of data for progress reports and presentations.
  • Serve as liaison for data requests to support partnerships with HBCUs and MSIs.
  • Design complex reports and disseminate information to stakeholders.

Requirements

  • Bachelor's Degree in Finance, Business, Accounting, or related field.
  • Five years of related experience in finance and operations.
  • Demonstrated ability to evaluate data and identify patterns for recommendations.
  • Experience working collaboratively with a wide range of stakeholders.
  • Excellent oral and written communication skills.
  • Strong attention to detail and organizational skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
