About the position

The Associate Director, Facilities, and EHS is responsible for enterprise-wide facilities oversight, office management, and Environmental Health & Safety (EHS). This role is based in Waltham, MA and primarily works on site 5 days per week. Travel to Lawrence, KS is required for at least one week every other month, with international travel required on an as-needed basis. This position reports to the VP, Information & Technology and Facilities and will be in the Waltham, MA office. In this role, the Associate Director will have overall responsibility for the daily operations and maintenance of multiple Deciphera facilities locations, including corporate headquarters in Waltham, corporate offices in Europe, and offices and research laboratories in Lawrence, KS. The individual will provide global oversight and responsibility for the buildings, equipment, building systems, general security, maintenance, and housekeeping, ensuring that the facilities are fully operational, safe, clean, and neat. This includes organizing and managing service providers and managing contracts for facilities management, support services, cleaning, and security. The Associate Director will oversee office management staff responsible for site operations, front desk reception operations, and inventory management of office supplies. They will also be responsible for physical security and access procedures at all Deciphera locations, manage workspace design, and lead space planning initiatives to ensure minimal business interruptions. Additionally, the role involves overseeing site selection for new spaces and facilities expansion projects, developing and maintaining emergency response plans, and ensuring compliance with safety and environmental systems as required by OSHA, EPA, and other regulatory standards. The Associate Director will manage incident reporting and coordination with G&A stakeholders regarding Workers' Compensation, lead facility-related projects from conception to completion, and evaluate and manage relationships with external vendors and contractors. They will introduce and oversee systems and procedures to ensure operations meet all Environmental, Safety, and Environmental standards, and work collaboratively with the I&T Leadership Team and operational personnel to facilitate automation and systems related to this function. Other duties may be assigned as necessary.

Responsibilities

  • Overall responsibility for the daily operations and maintenance of multiple Deciphera facilities locations, including corporate headquarters (Waltham, MA), corporate offices (Europe), and offices & research laboratories (Lawrence, KS).
  • Provides global oversight and responsibility for the buildings, equipment, building systems, general security, maintenance, and housekeeping, ensuring the facilities are fully operational, safe, clean, and neat.
  • Organizes and manages service providers and manages contracts for facilities management, support services, cleaning, and security.
  • Oversees office management staff responsible for duties including site operations, front desk reception operations, and inventory management of office supplies.
  • Responsible for physical security and access procedures and programs at all Deciphera locations.
  • Manages workspace design including office and lab design and planning initiatives.
  • Leads space planning initiatives and ensures any necessary internal movement of employees is flawlessly executed, minimizing business interruptions due to downtime.
  • Oversees site selection for new spaces as well as facilities expansion projects.
  • Partners with the Facilities & EHS team to develop and maintain emergency response plans, ensuring staff awareness and readiness for various scenarios.
  • Coordinates emergency response efforts as it relates to the Emergency Action Plan (e.g., evacuation, weather, and other business interruptions).
  • Coordinates, monitors, and ensures compliance with appropriate safety and environmental systems, policies, and procedures as required through OSHA, EPA, DEA, DOT, emergency management, ergonomics, State, Federal, and other regulatory standards to provide a safe environment for all employees, visitors, and the community.
  • Ensures all facilities and operations comply with local, state, and federal regulations, as well as industry standards.
  • Manages incident reporting and coordination with G&A Stakeholders regarding Workers' Compensation.
  • Oversees subject matter expert for EH&S, including professional development in addition to short- and long-term strategy, execution, implementation, and maintenance of the EHS function.
  • Leads and coordinates facility-related projects, from conception to completion, ensuring adherence to timelines, budget constraints, and regulatory requirements.
  • Collaborates with cross-functional teams to implement improvements and upgrades to enhance overall facility functionality.
  • Evaluates, selects, and manages relationships with external vendors and contractors for facility-related services and projects.
  • Introduces and oversees systems and procedures to ensure area is operated in a manner which meets all Environmental, Safety and Environmental standards.
  • Works collaboratively with the I&T Leadership Team and operational personnel to facilitate automation and systems implemented related to this function.
  • Works collaboratively with G&A and the Business to provide efficient and effective services and support related to this function.
  • Other duties as assigned.

Requirements

  • Bachelor's degree in Facilities Management, Industrial Hygiene, Environmental Safety, Occupational Safety and Health or related field required; advanced degree a plus.
  • Minimum 7-10 years' experience in operations, with at least 2 years in a leadership role.
  • Proven experience in facilities management, preferably in a biotech, life sciences, or pharmaceutical laboratory setting.
  • Experience in the operations and management of facility and utility systems in a Laboratory environment is preferred.
  • Certified Safety Professional (CSP) and Certified Industrial Hygienist (CIH) accreditations is a plus.
  • Experience with pharmaceutical/biotechnology laboratory system operations (including HVAC).
  • Strong project management skills with a track record of successful execution.
  • Exceptional attention to detail.
  • Proven excellent customer service skills and ability to be flexible, a team player and interface professionally with all levels of internal and external customers.
  • Demonstrated outstanding organizational skills required; ability to effectively manage multiple priorities and adapt to changing priorities.
  • Excellent verbal and written communication skills coupled with a 'can do' and 'whatever it takes' attitude.
  • Prior administrative experience with HRIS, Project Planning, and EHS technologies preferred.
  • Advanced experience and capability with Microsoft Office products, including Excel.
  • Ability to meet and deal tactfully and courteously with salespeople, suppliers, architects, building contractors and regulatory personnel.
  • Ability to interpret specifications, blueprints, drawings, and readily determines the best bids or proposals.
