About the position

The Associate Director of Meetings and Events at HealthTrust is responsible for overseeing the management and execution of corporate events, conferences, advisory board meetings, and trade shows. This role is crucial in supporting the marketing and corporate strategic plans of HealthTrust and its related service lines. The ideal candidate will have extensive experience in event planning, project management, and budget oversight, ensuring that all events align with organizational objectives and provide a high-quality experience for attendees.

Responsibilities

  • Oversee the management and execution of corporate events, hosted conferences, advisory board meetings, and trade shows.
  • Schedule, plan, and organize conference activities for corporate and VIP events.
  • Negotiate hotel and conference site contracts and concessions.
  • Develop expense budgets and revenue goals for events, ensuring targets are achieved.
  • Work closely with finance to oversee all expenses and revenue collection for events.
  • Establish pricing structure for exhibits and sponsorships and manage their sales.
  • Lead the development of event registration systems and processes.
  • Recruit, train, and manage volunteer staff across departments.
  • Work with leadership to select speakers, entertainers, and education curriculum for events.
  • Manage logistics for all event-related activities and establish metrics to measure success.

Requirements

  • 10+ years of experience in large-scale event planning within the healthcare industry.
  • Bachelor's degree in event planning, hospitality management, marketing, communications, or a related discipline.
  • Demonstrated proficiency in Windows and Microsoft Office products, especially Excel.
  • Proven project management experience and ability to manage budgets and accounting requirements.
  • Excellent customer service skills and ability to communicate effectively in both written and verbal form.

Nice-to-haves

  • Certified meeting professional (CMP), meeting manager, or trade show professional preferred.
  • Experience using CVENT and Salesforce.
