About the position

The Associate Director of Technology Operations is responsible for overseeing and optimizing technical systems, processes, and tools within the agency to enhance service delivery and resource management. This role collaborates with agency leaders to ensure teams have the necessary tools and insights for effective client work, focusing on data access, forecasting, and reporting capabilities. The position requires attention to detail, expertise in systems workflows, and a creative approach to technology-based problem-solving.

Responsibilities

  • Troubleshoot and maintain access to agency platforms, including project management tools and creative systems.
  • Manage relationships with third-party tech providers, overseeing contracts and resolving issues.
  • Collaborate with HR and department heads to streamline new employee onboarding.
  • Regularly review systems, policies, and credentials to maintain security and access protocols.
  • Evaluate and approve new tech vendors to optimize the agency's technological ecosystem.
  • Lead change management initiatives and organizational training for system updates.
  • Assist with security policy development, audits, and compliance.
  • Oversee data privacy practices and compliance with data protection regulations.
  • Manage low-code/no-code tools to automate workflows and improve business process efficiency.
  • Collaborate with Sales and Operations to maintain CRM systems and project management tools.
  • Enhance internal reporting tools to provide insights into resource allocation and agency performance.
  • Improve tracking and allocation systems for streamlined resource planning.
  • Manage a small team of operations staff overseeing IT and Admin functions.

Requirements

  • 7+ years' experience in the agency space, preferably in Operations, Project Management, and IT.
  • Proven ability to coordinate across multiple functions to resolve complex issues.
  • Experience evaluating, selecting, and implementing technology solutions such as CRM and project management tools.
  • Proficiency with reporting and integration tools, including low-code/no-code tools and common API and database languages (SQL, Python, REST APIs).
  • Strong analytical capabilities with a history of implementing systems for better data collection and analysis.
  • Strong interpersonal skills and ability to communicate with various stakeholders.
