An Associate Event Services Planner is a self-motivated, energetic, and results oriented position responsible for the logistics organization and delivery of Ingram Micro's one day meetings with attendees in the range of 50 to 500 guests, elaborate on-campus events and sales facing events, reseller dinners, reseller happy hours, movie nights, and virtual experiences. The Associate Event Services Planner is charged with creating experiences and bringing visions to life; working with clients to identify their needs and ensure customer satisfaction. Other requirements include but not limited to managing the budget, researching venues and suppliers, being the liaison between your client and the suppliers, execution, onsite support, and overall event guidance. 25% travel required; job will require working non-traditional (weekends and holidays may be required). Who is the successful Associate Event Planner? An Associate Event Services Planner is customer focused, resourceful, action oriented, collaborates, instills trust, plans & aligns, able to make complex decisions, ensure accountability and drives results of well-planned, well organized, well delivered events. Provide timely reconciliation of program expenses vs. budgets to clients; strengthen relationship with clients; and offers individual recognition of a well-done program. The outcome of the attention given to the process of purchases and distribution is trust and accountability from clients, associates, and vendors. Strong relationships with MAM, CSM, and clients which will result in a successful customer experience that meets the customers' needs and creates a memorable experience. The Associate Event Services Planner will be a reliable and professional associate by those that work with them. Accurate, timely budget reconciliation. Strong communication throughout the budget process will ensure the client is aware of all aspects of financial hard costs. Knowledge and Skills: Foundational Knowledge of: Meeting/Events planning, travel industry, meeting software, and basic accounting practices. Foundational Skill in: Negotiating, contract review, organization, customer service, oral and written communication, multi-tasking, site selection, web-based registration builds and operations, budgeting and account reconciliation Ability to: Meet deadlines under pressure, work in a fast-paced environment, manage multiple projects, work independently, think outside the box, think on your feet.

Responsibilities

  • Responsible for the logistics organization and delivery of one day meetings with attendees ranging from 50 to 500 guests.
  • Manage the budget for events, ensuring timely reconciliation of program expenses vs. budgets to clients.
  • Research venues and suppliers for events, acting as the liaison between clients and suppliers.
  • Provide onsite support and overall event guidance during events.
  • Create memorable experiences by working with clients to identify their needs and ensure customer satisfaction.
  • Plan and execute elaborate on-campus events, reseller dinners, happy hours, movie nights, and virtual experiences.
  • Collaborate with clients to strengthen relationships and ensure a successful customer experience.

Requirements

  • Bachelor's degree in hospitality or a related field.
  • Two plus years of experience in service/hospitality or meeting/event planning.
  • Strong communication skills, both oral and written.
  • Experience in negotiation and contract review.
  • Ability to manage multiple projects and meet deadlines under pressure.
  • Foundational knowledge of meeting/events planning, travel industry, and basic accounting practices.

Nice-to-haves

  • Experience in problem solving and process improvement.
  • Familiarity with meeting software and web-based registration builds.
