About the position

Wells Fargo is seeking an Associate Executive Specialist in the Chief of Staff office as part of the Commercial Bank. In this role, you will provide a high level of professional support that includes a balance of experienced executive-level administrative work, as well as ad-hoc project and business initiatives. This includes planning meetings, tracking deliverables, and pulling routine reports. You will perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions. Additionally, you will support various projects and act as an information source on group and company policies. You will receive direction from your supervisor and will be expected to exercise judgment within defined parameters while developing an understanding of the Administrative Support function. Collaboration and consultation with peers, colleagues, and managers will be essential to resolve issues and achieve goals.

Responsibilities

  • Provide high-level professional support including executive-level administrative work and ad-hoc project initiatives.
  • Plan meetings, track deliverables, and pull routine reports.
  • Perform heavy calendaring and complex travel planning.
  • Create and edit extensive documents and prepare expense report submissions.
  • Support various projects and act as an information source on group and company policies.
  • Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals.

Requirements

  • 6+ months of Executive Administration experience, or equivalent demonstrated through work experience, training, military experience, or education.
  • Experience providing administrative support for senior-level leaders or executives.
  • Experience supporting multiple managers with calendar management, travel arrangements, and scheduling of meetings and events.
  • Highly refined and professional verbal and written communications skills.
  • Ability to handle confidential material in a professional manner.
  • Ability to consult, build, and maintain solid working relationships in and outside of the immediate department.
  • Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint, and Access).
  • Ability to make decisions, prioritize work, report priorities/metrics to senior management, meet deadlines, achieve goals, and work under pressure in a dynamic environment.
  • Ability to work effectively in a team environment and across all organizational levels, demonstrating flexibility, collaboration, and adaptability.
  • Ability to develop partnerships and collaborate with other business and functional areas.
  • Ability to take initiative and work independently with minimal supervision in a structured environment.
  • Strong organizational, multi-tasking, and prioritizing skills.
  • Ability to manage changing travel itineraries and accurately manage expense reimbursement.
  • Strong attention to detail and accuracy skills.
  • Strong project management skills.
  • Experience with setting up meetings and utilizing Microsoft Teams (or similar platforms) for meeting facilitation.
  • Proficiency in organizing and coordinating offsite events.
