About the position

Wells Fargo is seeking an Associate Executive Specialist to provide high-level administrative support to multiple leaders in the Total Rewards division of the Human Resources Department. This role involves managing confidential information, supporting various projects, and ensuring smooth operations within a fast-paced environment.

Responsibilities

  • Provide a high level of professional support including executive level administrative work and ongoing ad-hoc project initiatives.
  • Perform heavy calendaring, complex travel planning, document creation and editing, and prepare expense report submissions for multiple leaders.
  • Support projects and cross-departmental initiatives.
  • Assist with budget planning and compile statistical data for financial planning.
  • Act as an information source on group and company policies.
  • Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals.
  • Interact with external customers, vendors, and current and future employees as needed.

Requirements

  • 6+ months of Executive Administration experience, or equivalent demonstrated through work experience, training, military experience, or education.

Nice-to-haves

  • Previous administrative assisting experience within a global financial services or similar organization.
  • Comfort with overseeing and managing multiple calendars across various time zones.
  • Ability to thrive in a fast-paced environment with minimal oversight.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Ability to manage competing priorities, specifically as it relates to calendar management.
  • Experience dissecting complex spreadsheets and using pivot tables to extract data and present it via PowerPoint.
  • Tact and good judgement with confidential information and proven experience interacting with executive leadership.
  • Experience with SharePoint.
  • Excellent verbal, written, and interpersonal communication skills.
  • Effective problem-solving skills, flexibility, and adaptability.
