At Broadridge, we have cultivated a culture that prioritizes empowering individuals to achieve more. We are currently seeking an Associate HR Compliance Specialist to join our global HR team. This role is pivotal in responding to inquiries from associates, managers, HR personnel, and external companies through inbound calls or our case management system (Tier 1). The successful candidate will be responsible for providing thorough answers to questions within designated service level agreements (SLAs) and documenting all incoming calls using our case management tool, ServiceNow. The inquiries may range from support for Workday and EeTIME systems to general HR questions. Additionally, the role involves conducting research and following up with requestors via outbound calls or emails as necessary. Utilizing standard operating procedures (SOPs), policy manuals, and knowledge bases will be essential in assisting with inquiries and resolving issues. When specific, in-depth functional knowledge is required, the Associate HR Compliance Specialist will escalate inquiries to HR subject matter experts. The responsibilities of this position include completing various Human Resources and Payroll-related transactions, such as data entry and managing online personnel files using systems like Workday, ADP, and EeTIME. The role also involves executing Workday data transactions for new hires, terminations, promotions, and correcting errors to ensure accurate processing of HR and payroll data. Maintaining data accuracy and implementing appropriate controls for audit verification is crucial. The Associate will manage workflows, review discrepancies, and provide clarification as needed, while also answering questions about the workflow and audit trails. Other HR-related activities include on/offboarding processes, conducting orientations, and verifying employment for associates from various entities. The role requires running standard and ad hoc reports to meet internal reporting requirements and support HR projects, as well as reviewing integrity reports and suggesting necessary changes. Participation in special projects, such as system upgrades and compliance with NY Wage regulations, is also part of the job. Continuous improvement is a key focus, and the Associate will be encouraged to suggest updates and enhancements to processes, procedures, and knowledge bases. Confidentiality and privacy of personal or sensitive data must be maintained at all times, and the Associate will perform other duties as assigned.

Responsibilities

  • Respond to associate, manager, HR, and external company inquiries through inbound calls or case management system (Tier 1).
  • Document incoming calls using ServiceNow to resolve issues within identified service level agreements (SLAs).
  • Provide support for Workday and EeTIME systems as well as general HR questions.
  • Conduct research and follow up with requestors via outbound calls or emails as appropriate.
  • Complete HR and Payroll related transactions utilizing various systems: Workday, ADP, EeTIME, etc.
  • Execute Workday data transactions (new hires, terminations, promotions) and correct errors to facilitate HR and payroll data processing.
  • Confirm data accuracy and maintain appropriate controls for audit verification.
  • Manage workflow by moving items from one step to the next, reviewing discrepancies, and escalating if necessary.
  • Answer questions about workflow and audit trails.
  • Work on HR related activities including on/offboarding, conducting orientations, and verifying employment for associates.
  • Run standard and ad hoc reports for internal reporting requirements and HR projects.
  • Review integrity reports and suggest changes as necessary.
  • Participate in special projects as assigned (system upgrades, testing, NY Wage, etc.).

Requirements

  • Bachelor's degree and/or minimum 1-2 years related knowledge of HR policies, processes, and HRIS.
  • Outstanding customer service and interpersonal skills, including follow-up skills.
  • Demonstrated ability to work collaboratively in a team structure.
  • Excellent problem solving/analytical abilities to independently resolve a variety of routine and complex issues.
  • Excellent organizational skills, ability to multi-task with attention to detail.
  • Ability to identify, drive, and/or participate in implementing process improvement activities.
  • Ability to work in a fast-paced and changing environment, managing multiple priorities while maintaining composure and flexibility.
  • Excellent verbal and written communication skills.
  • Proficient with navigation of various online tools and technology, and use of MS Word & Excel.
  • High level of discretion with confidential material.
