About the position

The Associate Project Manager's central responsibility is to assist the Sr. IT Project Manager at ITSS as well as support the work of the other IT Project Managers. This role encompasses a variety of tasks, including administrative duties related to ongoing projects. The Associate Project Manager will be responsible for creating and updating project artifacts, maintaining contact with project stakeholders through email and phone calls, addressing questions and concerns from stakeholders, preparing presentations or other communications, and entering project data in ServiceNow or other tools. This position is hybrid, based out of the Indianapolis, IN offices, allowing for a blend of in-office and remote work. In addition to administrative tasks, the Associate Project Manager will enter and maintain data in ServiceNow PPM, ensuring that all project-related data is accurate and up-to-date throughout the year for various efforts within the ITSS Portfolio. They will also report on effort data and results, collaborating with the Senior IT Project Manager to gather and document project execution results periodically, and presenting these findings as needed by the PM Team. Engaging in various projects is crucial for the Associate Project Manager to learn about project management and to serve as a backup resource when necessary. The role requires a high level of self-awareness and a desire to develop leadership capabilities. The Associate Project Manager must be able to hold themselves and others accountable to high standards, take initiative in unfamiliar or ambiguous situations, and maintain engagement with senior PM Team members. Building strong business partnerships with various leaders is essential, along with excellent verbal and written communication skills and a commitment to confidentiality.

Responsibilities

  • Assist the Sr. IT Project Manager and support other IT Project Managers.
  • Create and update project artifacts as needed.
  • Maintain contact with project stakeholders through email and phone calls.
  • Address questions and concerns from project stakeholders.
  • Prepare presentations and other communications for stakeholders.
  • Enter and maintain project data in ServiceNow PPM.
  • Gather and document project execution results periodically.
  • Report or present project results as needed by the PM Team.
  • Engage in various projects to learn about project management.
  • Act as a backup resource for assigned PMs when necessary.

Requirements

  • Demonstrated proficiency in ServiceNow PPM.
  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Visio, Project).
  • Exposure to project management process models (ITIL, PMI, CMMI, Agile).
  • Experience managing small projects for part or whole of the SDLC.
  • Minimum of 3 years of experience in a PMO, PM Team, or IT Team.
