About The Position

The CSG Justice Center is seeking a Logistics and Events Coordinator to support logistics, office management, and events coordination at its New York City headquarters. This role involves assisting staff and leadership with travel arrangements, document management, and administrative coordination across divisions, contributing to the organization's mission of enhancing public safety and community strength.

Requirements

  • At least 1 year of relevant experience and/or equivalent educational achievements in office administration, operations, events coordination, or a related field.
  • Proficiency in Microsoft Office Suite, Asana, and/or similar project management software.
  • Highly detail-oriented for basic budget, contracting, and invoicing management.
  • Strong oral and written communication skills to present complex information clearly.
  • Ability to handle and complete multiple assignments with minimal supervision in a fast-paced workplace.
  • Excellent interpersonal and emotional intelligence skills, maturity, and ability to work independently and in a team.

Responsibilities

  • Organize travel logistics for staff and travel partners, including booking accommodations and meals.
  • Prepare and submit travel expense reports for the Senior Leadership Team.
  • Manage transportation accounts, ensuring user access is up-to-date and accurate.
  • Provide phone support for the Finance, Operations, and Administration departments.
  • Manage office operations, including supplies, event materials, and mailings.
  • Coordinate with building management to address office maintenance needs.
  • Manage event production tasks, including leading RFPs with program staff to secure venue bids and preparing estimated budgets.
  • Manage registration RSVPs and coordinate travel and hotel accommodations for events.
  • Ensure on-site logistical needs are met, including supplies, equipment, and event materials.
  • Manage event expenses, coordinate with finance for vendor payments, and reconcile event budget and expenses.
  • Lead event scheduling and attend in-person events to ensure a seamless experience for attendees and speakers.
  • Develop and manage event runs-of-show and on-the-ground event production and logistics.
  • Willingness to travel 4-8 times per year for work-related events outside of the NYC area.
