About the position

The position involves direct supervision of administrative and clinical functions at the Ottauquechee Health Center, ensuring efficient operations for primary care and specialty practices. The role includes overseeing clinic activities, managing staff, and coordinating with various departments to enhance patient care and administrative workflows.

Responsibilities

  • Oversees and provides general supervision for the day-to-day flow and coordination of clinic functions.
  • Troubleshoots any problems with interactions with patients or others within the hospital.
  • Fills in as needed or arranges for replacement of secretarial staff.
  • Ensures that messages and prescriptions have been appropriately addressed in a timely manner.
  • Participates in multidisciplinary and multidepartment teams to evaluate and improve clinical and administrative workflows.
  • Monitors the referral process and follows up to ensure timely handling of referrals.
  • Manages changes and/or creation of provider schedules for patient appointments and oversees communication of these schedules.
  • Trains and supervises secretarial staff in scheduling and registration systems.
  • Monitors secretarial and clinical support staff performance, including preparation of performance evaluations.
  • Utilizes MAHHC policies and procedures in performance management.
  • Organizes and tracks the presence of residents and/or medical students and oversees blocking of schedules as appropriate.
  • Oversees the recall and patient appointment reminder processes.
  • Handles special projects as assigned by the Practice Manager with minimal supervision.
  • Responsible for clinic administrative tasks such as review of departmental mail and approval of bills.
  • Serves as backup to practice manager during absences.
  • Administers bi-weekly payroll.
  • Acts as liaison for the Ottauquechee Health Center to ensure physical plant needs are met.

Requirements

  • Experience in a supervisory role within a healthcare setting.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with clinical workflows and administrative processes.
