About the position

The Associate Project Manager at CECO Environmental is tasked with supporting the business in managing standard orders and customer requirements while assisting the Project Manager in executing various projects. This role is crucial in controlling project plans and performance activities across multiple functional lines within an Engineering to Order business environment. The Associate Project Manager is responsible for ensuring that the company delivers quality products on time while maintaining budget and cash flow. This is achieved through effective preparation and management of project schedules, invoicing, subcontractor management, and logistics management. In addition to logistical support, the Associate Project Manager will engage in project-related administrative activities, which include the extraction, gathering, compilation, and distribution of documents from engineering through the manufacturing process. The role demands a detail-oriented individual who can utilize project management tools and communicate effectively with a diverse audience. The Associate Project Manager is expected to possess problem-solving skills, demonstrate a sense of urgency, and gain knowledge about products, business operations, and project management skills. The position requires the individual to support the initiation, planning, execution, monitoring, and closeout of projects under tight deadlines. Responsibilities include monitoring project timetables and milestones, collaborating with project teams to ensure deadlines and quality requirements are met, and maintaining project plans and budgets. The Associate Project Manager will also be responsible for managing project document flow, performing tasks related to warehouse and material flow, and supporting invoicing and collection efforts. This role is essential for maintaining communication with internal and external customers regarding project inquiries and ensuring that project deliverables are met efficiently.

Responsibilities

  • Support the initiation, planning, execution, monitoring, and closeout of projects under tight deadlines.
  • Monitor project timetables and milestones, collaborating with project teams to ensure deadlines and quality requirements are met.
  • Keep project plans and budgets up to date to reflect progress and approved scope changes.
  • Proactively seek status from internal and external resources and prepare monthly status reports.
  • Manage project document flow by sending, receiving, and logging documents in job files.
  • Perform tasks related to warehouse and material flow, including client logistic portal management and generating shipping documents.
  • Maintain the transmittal and document database for accurate record-keeping.
  • Assist in providing insights into project deliverables and gather responses for project-related questions.
  • Communicate effectively with internal and external customers regarding project inquiries.
  • Support invoicing and collection efforts by invoicing accurately and monitoring the aging report.
  • Interface with suppliers, subordinates, and customers to ensure project deadlines are met.
  • Identify problems or potential problems and suggest appropriate solutions.
  • Support multiple projects and/or pursuits simultaneously.
  • Continue to develop knowledge of fabrication and engineering processes.

Requirements

  • Bachelor's degree in Tech or Engineering (Chemical / Environmental / Mechanical) or equivalent experience.
  • Experience in an Engineering, steel fabrication, or construction environment is a plus.
  • Moderate understanding of fundamental project management methodology.
  • Strong sense of urgency and customer-first approach.
  • Critical thinking, problem-solving, organizational, and analytical abilities.
  • Ability to prioritize conflicting tasks and work with little supervision.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Project.

Nice-to-haves

  • PMP or Project Management training is a plus.
