About the position

We are seeking an Assistant Property Manager in Phoenix, Arizona, to join our team. This role is essential for managing various administrative procedures and ensuring the smooth operation of our commercial properties. The Assistant Property Manager will utilize Yardi software for property management tasks, including billing and tenant communications. This position is critical in maintaining efficient operations and ensuring tenant satisfaction, which is a key aspect of our business model. The Assistant Property Manager will be responsible for a variety of tasks, including backing up the input of invoices in Yardi PayScan and coding them for approval. They will prepare tenant billing, manage billbacks, and handle meter readings. Additionally, the role involves coordinating locksmith services and managing access card issuance for tenants. Effective communication is vital, as the Assistant Property Manager will handle tenant communications through various channels, including phone, email, text, or in person. Conducting site visits to meet with vendors or tenants is also part of the job, as is fostering positive tenant relations through thoughtful gestures such as new tenant gifts and assistance with tenant events. The Assistant Property Manager will prepare Welcome Packets for new tenants and conduct move-out inspections to ensure a smooth transition for all parties involved. Furthermore, the role includes administering leases, which encompasses managing rent escalations, Common Area Maintenance (CAM), Right of First Offer (ROFO), and Right of First Refusal (ROFR). The Assistant Property Manager will also abstract lease documents and update Lease Tracker tabs, ensuring that all information is current and accurate. In addition to these responsibilities, the Assistant Property Manager will support tenants in setting up their accounts in Angus and manage Angus work orders and disbursements. This position requires demonstrated proficiency in using Yardi software, experience in commercial property management, and a solid understanding of administrative procedures within an office environment. Expertise in managing billing processes and systems is also essential for success in this role.

Responsibilities

  • Backup for inputting invoices in Yardi PayScan and code for approval.

Requirements
