About the position

The Associate Sales Operations Specialist position at Metro Transit is a vital role within the Finance Department, focusing on supporting customer programs and retail sales activities. This position involves tasks such as reconciliation of sales data, customer service management, and assisting with outreach activities related to the Transit Assistance Program (TAP). The role is designed to enhance operational efficiency and improve customer engagement in the Twin Cities metropolitan area.

Responsibilities

  • Conduct weekly reconciliation of Compact Point of Sale (CPOS) sales for retail partners.
  • Prepare weekly Electronic Funds Transfer (EFT) draws for retail partners.
  • Assist in the deployment of new CPOS systems as needed.
  • Extract, compile, and analyze data from various sources to generate reports on ridership, program participation, fare compliance, revenue, and cost.
  • Develop and review processes to ensure data accuracy.
  • Handle TAP registrations and process related customer relations ticket follow-up.
  • Manage webstore and Ticket Vending Machine (TVM) refunds.
  • Respond to emails, address outstanding past due invoices, and discuss payment options with customers.
  • Process new customer applications in accordance with agency guidelines.
  • Stay informed about state and federal transit benefit programs and provide information to customers.
  • Serve as a backup for store and TVM reconciliation.
  • Assist with fare collection testing and handling fare cards return processing.
  • Manage University of MN daily upload processing and reconciliation.
  • Act as backup for Metropass card processing when the Metropass program coordinator is absent.
  • Respond to customer inquiries about programs, processing requests for new fare products; respond to account inquiries, research, and respond to customer account or fare product problems.
  • Assist new customers with training of programs.
  • Assist with outreach and coordination of TAP events to inform potential customers about the low-income program.
  • Provide support to Transit Service Center and Customer Relations personnel by answering customer questions and concerns.
  • Distribute promotional materials and participate in public meetings and community events.
  • Create and maintain documentation of processes and activities.
  • Draft letters to respond to public comments or questions in a timely manner.

Requirements

  • H.S. Diploma/GED AND five (5) years of experience.
  • Associate degree AND three (3) years of experience.
  • Bachelor's Degree AND one (1) year of experience.
  • Valid class D driver's license and good driving record.

Nice-to-haves

  • Knowledge in accounting and interpreting legal agreements.
  • Experience with program management or project management, including developing project plans with clear objectives, milestones, timetables, and deliverables.
  • Experience with providing customer service to internal and external customers.
  • Experience collaborating with diverse populations of internal and external customers.
  • Experience with data analysis and reporting, including extraction of data, interpretation of data into meaningful information and presentation of findings.
  • Familiarity with business practices including sales and credit, contracts and agreements, accounting and financial controls, transaction processing and Information Systems integration.
  • Development of written and oral business correspondence.
