About the position

The Associate Technical Document Operations Specialist at ClinChoice is a client-facing role responsible for a variety of administrative and support activities that facilitate the efficient operation of the organization. This position is designed for individuals who can work independently while establishing a high-trust environment with client counterparts, particularly within the context of clinical trials.

Responsibilities

  • Perform general clerical duties including photocopying, generating UPS labels, scanning, faxing, and mailing.
  • Handle requests for information and data.
  • Resolve administrative problems and inquiries.
  • Generate memos, emails, and reports as appropriate.
  • Sort, prepare, process, and file hardcopy mail.
  • Receive and direct visitors and clients.
  • Prepare agendas for meetings.
  • Record, compile, transcribe, and distribute minutes of meetings.
  • Assist the Technical Document Operation Specialist with archiving clinical trial documents, including creating/reviewing inventory spreadsheets and reviewing/burning DVDs/CDs for clinical trials.
  • Recall boxes/microfilm from archive as needed, review and provide documents as instructed, and return boxes/microfilm to archive in a timely manner.
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Maintain supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Move/lift boxes up to 40lbs.
  • Manage Vault eTMF account requests for external partners for migrated outsourced/acquired trials.

Requirements

  • Experience working in Clinical Research is preferred.
  • Strong verbal, written, and organizational skills with a team-oriented approach as well as the ability to work well independently.
  • Strong time management skills.
  • Detail-oriented and self-motivated.
  • Ability to handle and prioritize multiple tasks to meet deadlines in a dynamic environment.
  • Excellent English communication skills (oral and written).
