About the position

Join the Mana Maoli ʻohana, a Hawaiian non-profit dedicated to serving thousands of youth across 23 schools and 4 islands through our Mana Mele Project, which focuses on Hawaiian culture-based music and multimedia services. We are currently seeking passionate and committed team players for interim roles within our Executive Team, with the potential for long-term positions based on performance and funding availability. This role is crucial as we navigate staffing changes due to promotions, part-time transitions, and unexpected leaves of absence. Both part-time and full-time options are available, depending on the candidate's performance and the organization's funding situation. The interim position will involve a mix of events coordination and executive team duties, assisting the Executive and Finance Directors with various administrative tasks while supporting other teams such as Program, Community Development, Digital Storytelling, and Resource Development as needed. The successful candidate will play a vital role in supporting the Mana Mele Project, which teaches essential skills through music and multimedia to K-12 youth, alumni, and college interns across our partner schools. As part of the team, you will have the opportunity to engage in various activities, including behind-the-scenes support, onsite event coordination, film shoots, and public events. This position is ideal for individuals with strong organizational, communication, and event planning skills, who are eager to contribute to a mission-driven organization that supports Native Hawaiian and low-income, at-risk youth. The role requires flexibility, as tasks may vary daily based on priority projects and team needs.

Responsibilities

  • Lead and oversee planning and implementation of events, such as Artist School Visits and film shoots.
  • Draft and send correspondence via email, text message, and phone to partners, funders, and staff on behalf of the Executive Director.
  • Document, prioritize, and track the status of tasks and key correspondence using Asana task management software.
  • Assist with budgets, spreadsheets, and Google form surveys.
  • Participate in meetings with or on behalf of the Executive Director, taking related notes and assisting other team leaders as needed.

Requirements

  • Must live on Oʻahu.
  • College degree (BA or higher).
  • Highly organized and able to prioritize tasks quickly.
  • Strong desire to work with the Hawaiian community and engage with youth.
  • Detail-oriented and capable of handling multiple projects simultaneously.
  • Strong written and verbal communication skills.
  • Flexible availability, including scheduled or on-call evening and weekend hours when needed for events or grant deadlines.
  • Excellent people skills, able to work with a wide range of individuals and learning styles.
  • Proficient in Google Workspace Apps (Gmail, Drive, Sheets, Forms, etc.).
  • For Executive Assistant: 2-9 years experience as an Executive Assistant or equivalent.
  • For Senior Executive Assistant: 10+ years experience as an Executive Assistant or equivalent.
  • For Assistant Director: 4+ years in leadership-level positions at a Hawaiian culture-based nonprofit, directly overseeing 10 or more staff, or 15+ years in a mix of support and leadership positions at a Hawaiian culture-based nonprofit.

Nice-to-haves

  • 4+ years experience in event planning/implementation.
  • Proficiency in ʻōlelo Hawaiʻi and/or various aspects of Hawaiian culture.
  • Experience teaching and/or working with youth, especially Hawaiian and low-income youth, and/or Hawaiian nonprofits.
  • Networks related to fundraising, donor development, and/or implementation of the Mana Mele Project.
  • Skills and experience related to music, audio engineering, video production, and communications (TV, radio, news).
  • Proficiency in Asana.
  • Experience writing and managing grants.
