About the position

The Auto Shop Office Administrator position at our Bellevue location is an exciting opportunity for a personable and organized individual to join our mechanic and auto repair shop. In this role, you will be responsible for a variety of clerical office duties that are essential to the smooth operation of our shop. Your primary responsibilities will include answering phones, responding to emails, and greeting both new and returning customers as they walk in. You will play a crucial role in updating customers on the status of their repairs and wait times, ensuring they are informed and satisfied with our services. In addition to customer interaction, you will handle billing processes, manage parts orders and returns, and work closely with the lead mechanic and shop manager to create accurate quotes for customers using our automotive software. This will involve printing out documents and obtaining signatures for customer quotes, bills, and receipts. You will also be tasked with maintaining our company website and social media accounts, creating engaging posts to promote our services and attract new customers. This position offers a unique opportunity to learn and grow within the automotive industry, as we provide training to help you become a fully independent Service Adviser. You will also gain valuable skills in digital advertising and marketing through social media and review websites, which are essential for driving business growth. Responsibilities

  • Answer phones and respond to emails.
  • Greet walk-in customers, both new and returning.
  • Update customers on repair status and wait times.
  • Handle billing processes and parts orders/returns with assistance from the lead mechanic and shop manager.
  • Create accurate quotes for customers using automotive software.
  • Print out documents and obtain signatures for customer quotes, bills, and receipts.
  • Maintain the company website and social media accounts.
  • Create new posts for social media to promote the shop.
  • Assist with other related automotive office tasks.

Requirements

  • 1+ years of experience in office administration work.
  • 1+ years of experience in customer service.
  • Proficient in data entry and filing.
  • Familiarity with Microsoft Office Suite and other popular office software.
  • Ability to handle a multi-line phone system and office emails.
  • Experience in an automotive or auto repair shop is a big plus.
  • Being bilingual (Spanish, Chinese, Hindi, etc.) is a big plus.

Nice-to-haves

  • Experience in digital advertising and marketing.
  • Familiarity with automotive software.
