About the position

We are seeking a dedicated Automotive Shop Receptionist to manage our front desk operations and perform a variety of administrative and clerical tasks. As the first point of contact for our company, the Receptionist will play a crucial role in creating a welcoming environment for our guests and customers. The responsibilities include offering administrative support across the organization, greeting visitors, and coordinating front-desk activities such as distributing correspondence and redirecting phone calls. To excel in this role, the ideal candidate should possess a pleasant personality, as customer service is a key component of the position. The Receptionist will need to handle emergencies effectively and streamline office operations. Strong multitasking and stress management skills are essential, as the role may require flexibility in working hours. Ultimately, the Receptionist's duties are to ensure that the front desk operates smoothly, welcoming guests positively and executing all administrative tasks to the highest quality standards, thereby supporting the rest of the staff in their work. This position is well-suited for an outgoing and highly organized individual who thrives in a dynamic and fast-paced environment. The Receptionist will be responsible for maintaining customer relationships, managing the customer database, preparing daily spreadsheets, and ensuring the reception area is tidy and presentable. The role also involves various clerical duties such as filing, photocopying, and transcribing, making it a diverse and engaging position.

Responsibilities

  • Communicating with customers either by telephone or in person to provide product or service information
  • Maintain customer relationships by ensuring satisfaction
  • Maintain customer database - getting email addresses and updating customer files daily
  • Preparing spreadsheets daily to show customers contacted and their responses
  • File closed customer invoices weekly
  • Follow-up with customers on estimates
  • Follow-up with customers after the car has been serviced
  • Check in customers
  • Prepare invoices
  • Call Vendors for parts & compare prices
  • Prepare Estimates
  • Collect payments - Cash or credit cards
  • Housekeeping - keep office clean
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Update calendars and schedule meetings
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Requirements

  • High school degree; additional Automotive experience is a plus
  • Valid Driver's License
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
