About the position

The IT Meeting/AV Support Specialist is responsible for the daily operations of audio-visual (AV) systems and services within the organization. This role serves as the main point of contact for meeting room setups, troubleshooting AV-related issues, and providing high-level training to new hires and meeting coordinators. The specialist will also develop user guides, implement maintenance schedules, and liaise with the AV service provider to ensure smooth operations of AV technology in high-profile conference rooms.

Responsibilities

  • Manage daily operations of AV systems and services.
  • Serve as the main point of contact for meeting room setup and operation of meeting room devices.
  • Troubleshoot AV-related questions and issues from end users.
  • Handle troubleshooting for digital displays and signage.
  • Set up AV technology in high-profile conference rooms such as boardrooms and training rooms.
  • Provide high-level training to new hires and meeting coordinators on conference room technology.
  • Develop and update meeting room user guides as needed.
  • Conduct pre-meeting tech run-throughs with meeting coordinators and presenters.
  • Implement a preventative maintenance schedule for meeting room equipment.
  • Liaise with the AV service provider to schedule and track service calls and equipment orders.
  • Support special projects during downtime.
  • Respond to and resolve help desk requests related to online meeting tools and general technology support.

Requirements

  • High School diploma required; undergraduate degree in a related field is a plus.
  • Working knowledge of MS Office products (Word, Excel, Outlook, Teams) required.
  • Experience with integrated AV systems (Microsoft Teams Rooms, 1Beyond, Q-Sys, Crestron, Atlona, Logitech, Lenovo, and Evoko) required.
  • Experience with managing and supporting management portals (Lenovo ThinkSmart Manager, Velocity, MTR Portal) required.
  • Experience with digital display systems (Spinetix or similar) required.
  • Experience with ServiceNow and Workday is a plus.
