About the position

The Award Accounting Analyst position at the University of California, Berkeley, is a vital role within the Contracts & Grants Accounting Office, responsible for the administration of federal and private contract and grant funding. The successful candidate will engage in a variety of tasks that include award setup, modification, and administration, ensuring compliance with campus policies and agency requirements. This role requires a thorough understanding of the research administration field, as well as the ability to analyze diverse problems and issues to determine effective solutions. The Award Accounting Analyst will independently monitor awards and transactions related to contract and grant management, maintaining accurate records in compliance with institutional and sponsor policies. This position also involves interpreting requirements from various sponsors and analyzing data and metrics to support financial reporting and compliance. Under the general direction of a CGA Supervisor, the Award Accounting Analyst will be responsible for fiscal control, accounting, billing, financial reporting, and administrative functions of individual grants and contracts awarded by Federal, State, and other agencies. The role includes attending training workshops for career development, participating in staff meetings, and contributing to the implementation of special projects as assigned. The Contracts & Grants Accounting Office plays a crucial role in supporting the Berkeley campus with fund setup, preparing regular financial reports, ongoing analysis and reconciliation, and managing audits of contracts and grants. Responsibilities

  • Accurately conducts award setup, modification, and administration, including reviewing award documents for appropriate dates, Sponsor Codes, CFDA codes, reporting and invoicing requirements, and agency terms and conditions.
  • Provides post-award financial administration and management for contracts and grants awards in accordance with campus policy and agency requirements.
  • Performs financial reporting, invoicing, and analysis including billing, preparing federal financial reports, and analyzing revenue and expenditures.
  • Responds to inquiries from funding agencies regarding outstanding reports, invoices, and policy issues.
  • Monitors financial and budgetary transactions to ensure compliance with Federal Government guidelines and University policies.
  • Provides advice and counsel regarding sponsored projects administration to Department Administrators and PIs.
  • Acts as a liaison to the Sponsored Projects Office, principal investigators, and agency administrators to resolve issues related to contract and grant awards.
  • Keeps management informed of departmental inquiries or problems and escalates issues as necessary.
  • Assists in providing supporting documents for audits as directed by senior staff.
  • Conducts award closeout including reconciliations, preparing and submitting financial status reports, and processing refunds.

Requirements

  • Bachelor's degree in a related area and/or equivalent experience/training.
  • Ability to complete all tasks timely and with a consistently high level of accuracy.
  • Strong organization and communication skills (verbal and written) with a customer service focus.
  • Thorough understanding of contracts and grants guidelines of Federal and non-Federal sponsors supporting research and educational activities.
  • Knowledge of Federal Acquisition Regulations and principles of cost accounting standards.
  • Proficiency in Microsoft Office suite and experience with PeopleSoft Contracts and Grants Module.
