About the position

The Benefit Account Coordinator is responsible for managing the daily operations of flexible spending account programs and COBRA administration at Bay Bridge Administrators. This role focuses on ensuring compliance with federal regulations, providing excellent customer service, and supporting clients' needs related to Health Care and Dependent Care FSAs, as well as Health Spending Accounts.

Responsibilities

  • Manage the end-to-end administration of Health Care and Dependent Care FSAs.
  • Ensure compliance with IRS regulations and company policies.
  • Process claims, contributions, and reimbursements accurately and timely.
  • Maintain accurate records of all transactions and communications.
  • Administer COBRA continuation coverage in accordance with federal regulations.
  • Ensure timely distribution of COBRA notices, including Initial Rights Notices, Qualifying Event Notices, and Open Enrollment Notices.
  • Process COBRA elections, payments, and terminations accurately and within required timeframes.
  • Provide exceptional support to clients and their employees via phone and email.
  • Educate participants on FSA and HSA benefits, eligible expenses, and claims procedures.
  • Assist employers with understanding and fulfilling their COBRA obligations.
  • Resolve participant inquiries and issues efficiently and professionally.
  • Assist with the implementation of new plans for clients.
  • Collaborate with the Benefits Manager to develop and update plan documents and communication materials.
  • Conduct regular reviews of plan performance and provide recommendations for improvements.
  • Stay current on industry trends, regulatory changes, and best practices in FSA, HSA, and COBRA administration.
  • Utilize benefits administration software to manage participant data and process transactions.
  • Generate and analyze reports on plan utilization and financial performance.
  • Ensure data integrity and confidentiality in all system and reporting activities.

Requirements

  • High School Diploma or GED equivalent.
  • Minimum of 2 years' experience in a position requiring related skills.
  • Proficiency in benefits administration software and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • High level of accuracy, attention to detail, and organizational skills.
  • Ability to handle confidential information with discretion.
  • Ability to prioritize and handle multiple tasks.
  • Customer-focused mindset with a commitment to providing outstanding service.
