As a Benefits Administration Coordinator, you will be responsible for monitoring the day-to-day flow of client requests for enrollments, changes, and terminations, supporting HUB clients' group benefits including health, dental, and vision. You will provide exceptional customer service to clients' HR and support staff while continually improving existing workflows, processes, and associated documentation in accordance with the practices, policies, and procedures of the company. Your specific responsibilities will include coordinating daily benefits processing and open enrollment, handling the workflow of enrollments, COBRA, terminations, and changes, while working closely with HUB staff, processing teams, and insurance carriers. You will serve as the point of contact for clients, plan vendors, and the processing team, researching client inquiries regarding enrollment status and performing escalations with carriers until resolved. Additionally, you will participate in the evaluation and revision of internal processes to reduce costs and increase efficiency, assist in testing and implementation of new partner vendors, and document and maintain instructions for benefit enrollment processes. You will also oversee the maintenance of databases and client records, ensure compliance with applicable government regulations, and provide internal utilization analysis using vendor-provided reports and internal records.

Responsibilities

  • Monitor the day-to-day flow of client requests for enrollments, changes, and terminations.
  • Support HUB clients' group benefits including health, dental, and vision.
  • Provide customer service to clients' HR and support staff.
  • Coordinate daily benefits processing and open enrollment.
  • Handle workflow of enrollments, COBRA, terminations, and changes.
  • Serve as point of contact for clients, plan vendors, and processing team.
  • Research client inquiries regarding enrollment status.
  • Perform escalations with carriers and track status updates until resolved.
  • Participate in evaluation and revision of internal processes to reduce costs and increase efficiency.
  • Assist in testing and implementation of new partner vendors.
  • Document and maintain instructions for benefit enrollment processes.
  • Oversee maintenance of database and client records.
  • Ensure compliance with applicable government regulations.
  • Provide internal utilization analysis using vendor-provided reports and internal records.
  • Assist with department projects such as technology updates and onboarding new partner vendors.
  • Cross train on other benefit administration tasks, including COBRA administration.

Requirements

  • Two years of related experience in employee benefits, payroll, or other applicable experience.
  • Working knowledge of all pertinent federal and state regulations affecting employee benefits programs.
  • Knowledge of procedures for transfer of data to various systems and carriers.
  • Understanding of audits using data comparison tools (Excel VLookup).
  • Strong analytical skills and thorough knowledge of employee benefits and the ‘life cycle' (new hire/change/termination).
  • Computer proficiency and technical aptitude with Microsoft Office products and online meeting applications.
  • Knowledge of HRIS and payroll system functions.

Nice-to-haves

  • Experience with enrollment platforms such as Employee Navigator.
  • Experience with shared project management software such as Smartsheets.
  • Effective planning and priority setting skills.
  • Ability to manage several projects simultaneously while working with target deadlines.
  • High attention to fine details of incoming and outgoing work.
