About the position

The Benefits Coordinator at Covenant Health plays a crucial role in the administration of various employee benefit plans, including medical, dental, vision, life, disability, accident, critical illness, and retirement. This position involves a variety of administrative and technical duties that support the daily operations of the benefits department. The coordinator is responsible for compiling and tracking data related to employee benefits plans and programs, ensuring accuracy in accounts, premium payments, payroll deductions, enrollments, cancellations, claims, and adjustments. The role requires effective communication skills to respond to employee inquiries regarding benefit plans, both face-to-face and over the phone. In addition to handling inquiries, the Benefits Coordinator coordinates with various insurance vendors to exchange information related to enrollments, premiums, billing, and plan communications. The coordinator also supports new benefit initiatives and is responsible for keeping new hire packet information up to date. Presenting benefits to new hires and assisting with the planning of the annual enrollment process are key responsibilities. The coordinator verifies and sends termination information to the COBRA administrator and carriers, ensuring that employees receive necessary information regarding life insurance and long-term disability portability and conversion upon termination. The role also includes maintaining file organization, performing special projects as assigned, generating necessary documents, and completing surveys with benefit information. The Benefits Coordinator is tasked with sending notifications to employees regarding changes in employment status and updating the benefits site on the employee intranet. Additionally, the coordinator runs weekly reports to transfer deduction information from the benefits module to payroll and assists with uploading retirement contribution data to Fidelity. This position is essential in ensuring that all aspects of employee benefits administration are handled efficiently and accurately, contributing to the overall satisfaction of employees at Covenant Health.

Responsibilities

  • Compiles and tracks data related to employee benefits plans and programs.
  • Researches and addresses discrepancies in accounts, premium payments, payroll deductions, enrollments, cancellations, claims, and adjustments.
  • Responds to employee benefit plan inquiries face to face and over the phone.
  • Coordinates with various insurance vendors in the exchange of information (e.g. enrollments, premiums, billing, plan communications, etc.).
  • Supports new Benefit initiatives as required.
  • Keeps new hire packet information up to date.
  • Presents benefits to new hires as needed.
  • Prepares packet for annual enrollment.
  • Assists with planning annual enrollment process.
  • Verifies and sends termination information to COBRA administrator.
  • Sends termination information to carriers.
  • Sends life insurance/LTD portability and conversion information to employees upon termination.
  • Maintains file organization and performs file scanning.
  • Completes special projects as assigned.
  • Generates documents as needed.
  • Completes surveys with benefit information.
  • Prepares benefits summary for Employment Services to use in recruitment.
  • Sends name and address changes to carriers.
  • Helps organize annual enrollment and processes new hire enrollments.
  • Keeps benefits site updated on employee intranet.
  • Maintains and updates benefits summaries on shared drive as needed.
  • Sends notifications to employees who have a change of employment status regarding benefits.
  • Sends information to COBRA administrator for dependents who have reached the age limit to be covered on benefits.
  • Enters New Hire/Qualifying Event Enrollments and Changes into the benefits module and Humana's website.
  • Runs reports weekly to transfer deduction information from the benefits module to payroll before payroll runs.
  • Checks benefits on inter-facility transfers and enters facility transfer on Humana's website.
  • Deposits MMC refund checks from Health Insurance Carrier.
  • Processes Medicare COB Information for All Facilities.
  • Maintains monthly report of dependents reaching age 24/25 for dental/vision and age 26 for medical, contacting employees to verify FT student status on dental/vision.
  • Assists with uploading retirement contribution data to Fidelity and wires amounts to Finance.

Requirements

  • Minimum of two (2) years office-based administrative/technical work experience.
  • Excellent computer and data entry skills, with the ability to quickly and accurately review data for errors and discrepancies.
  • Knowledge of basic auditing, bookkeeping, financial or accounting standards, processes, and procedures is highly desired.
  • Proficient in the use of common spreadsheet software (Excel) and familiar with other common office-based software (e.g. MS Word, Outlook, Access, etc.).
  • Ability to read, interpret and apply various federal regulations related to benefits administration.
  • Experience in employee benefits administration is preferred but not required.

Nice-to-haves

  • Bachelor's degree is preferred.
