About the position

The HR Benefits Coordinator position is a vital role within the Human Resources department, responsible for the administration of employee benefits. The ideal candidate will be an organized self-starter capable of managing multiple projects and deadlines from inception to completion. This role requires a high level of judgment to prioritize tasks effectively, ensuring that all benefit-related processes are handled with precision and care. Attention to detail is crucial, as is the ability to communicate effectively both in writing and verbally. The successful candidate will work independently with minimal direction while also demonstrating strong analytical skills and a collaborative spirit in a fast-paced environment. Confidentiality is paramount in this role, as sensitive employee information will be handled regularly. Key responsibilities include managing benefit portals such as Cigna, Lincoln Financial, EyeMed, and TASC, assisting new hires with benefit enrollment through Paycor, and ensuring that all records flow correctly through carrier connections. The HR Benefits Coordinator will also maintain the HR Home page on the intranet, ensuring that all information is accurate and up to date. Acting as the first point of contact for benefit-related queries, the coordinator will assist employees with healthcare claim issues and provide support for short-term, long-term, and worker's compensation claims. Additionally, the coordinator will play a significant role in the annual benefit renewal and plan design process, manage the Open Enrollment process, and conduct educational presentations to keep employees informed about their benefits. Compliance is another critical aspect of this role, as the coordinator will maintain compliance for all Health & Welfare Benefit plans, submit necessary compliance documents via Paycor, and manage FMLA requests. The position requires strong project management skills, customer service orientation, and the ability to maintain strict confidentiality. The HR Benefits Coordinator will also need to demonstrate professionalism, quality, and dependability in all aspects of their work, ensuring that they consistently meet project commitments and contribute positively to the team environment.

Responsibilities

  • Responsible for benefit administration
  • Management of benefit portals (Cigna, Lincoln Financial; EyeMed, and TASC)
  • Assist new hires with benefit enrollment via Paycor
  • Process new hire benefit elections into Paycor and ensure records flow correctly through carrier connections
  • Cross-check health benefit invoices to active enrollments on an ongoing basis
  • Maintain the HR Home page on the intranet with accurate and up-to-date information
  • Act as the first point of contact for benefit-related queries
  • Assist employees with healthcare claim issues when necessary
  • Provide support and assistance to employees with short-term, long-term & worker's compensation claims
  • Assist with the annual benefit renewal and plan design process
  • Manage the Open Enrollment process in Paycor
  • Conduct 3-4 Benefit Lunch and Learn presentations per year
  • Organize annual Health Fair and coordinate with healthcare providers
  • Act as primary back-up support for general onboarding and offboarding process
  • Gather and upload 'Did You Know' facts to the intranet and media screens weekly
  • Maintain compliance for all Health & Welfare Benefit plans
  • Submit 1095/1094 compliance via Paycor
  • Prepare and submit annual TASC Non-Discrimination Testing
  • Send out annual Medicare D Notices
  • Submit CMS Disclosure annually
  • Manage FMLA requests and track usage of FMLA and CTIA Paid Leave

Requirements

  • Bachelor's Degree with a minimum of 3 years of experience in Human Resources - benefit administration
  • Experience in HRIS benefit administration (Paycor preferred)
  • Strong project management experience
  • Advanced experience in Microsoft Office, particularly Word, Excel, Outlook, and PowerPoint
  • Strong public speaking and presentation skills
  • Detail-oriented with knowledge of grammar and punctuation
  • Proficiency in proofreading and strong communication skills

Nice-to-haves
