About the position

The Benefits Coordinator at Zippy's Restaurants plays a crucial role in managing and administering employee benefits, ensuring compliance with state and federal labor laws, and providing timely communication to employees regarding their benefits. This position reports directly to the HR Director and is responsible for a variety of essential functions that support the overall benefits administration process. The Benefits Coordinator will review reports to determine employee eligibility for benefits, notify employees of their eligibility status, and manage enrollments, changes, and terminations of insurance plans including medical, dental, and group life insurance. In addition to managing enrollments, the Benefits Coordinator will assist with premium billings for medical, dental, and group life insurance, ensuring that all qualified employees receive timely notifications regarding their COBRA election rights. The role also involves answering questions from employees and managers regarding benefits issues, facilitating open enrollment periods for medical, dental, and 401(k) plans, and processing various leave requests including FMLA leaves. The Benefits Coordinator will track all types of leaves, follow up on missing paperwork, and ensure that employees are billed correctly for any premiums owed. The position requires strong organizational skills as the Benefits Coordinator will compile information for Temporary Disability Insurance claims, review employee injury reports, and file workers' compensation claims. Additionally, the coordinator will conduct benefits presentations during new hire orientations and maintain accurate records of benefits documentation. The role may also involve coordinating annual flu shots and assisting with various HR projects as needed. Overall, the Benefits Coordinator is integral to ensuring that Zippy's employees receive the benefits they are entitled to and that the company remains compliant with all relevant regulations.

Responsibilities

  • Review reports to ensure employee eligibility for benefits according to state and federal laws and company policy.
  • Notify employees of their eligibility and ineligibility for benefits (medical, group life).
  • Enroll, change, and terminate employees on applicable insurance plans (medical, dental, group life).
  • Assist with premium billings for medical, dental, and group life insurance.
  • Send Notification of COBRA election forms to qualified employees in a timely manner.
  • Answer questions between employees/managers and insurance carriers regarding benefits issues.
  • Assist with open enrollment periods for medical, dental, and 401(k) plans.
  • Process and follow up on all HC-5 forms.
  • Process Request for Leave/vacation forms and follow up on return to work dates including FMLA leaves.
  • Track all leaves (Vacation, LOA, TDI, WC, Military Leave, FMLA, HFL) and follow up on missing paperwork.
  • Bill employees for any medical and/or dental premiums owed (arrears).
  • Compile information and complete Temporary Disability Insurance (TDI) claim forms.
  • Review and follow up with all employee injury reports and file workers' compensation claims.
  • Conduct and/or assist with the benefits section of the new hire orientation session.
  • Answer questions for all employees who inquire about benefits.
  • Run monthly ADP eligibility and ineligibility reports and follow up with managers.
  • Print and distribute Employee Discount Program cards to eligible employees.
  • Maintain and file benefits records and documents necessary for implementing benefits coverage.
  • Coordinate annual flu shots and assist with various Human Resources projects.

Requirements

  • Strong knowledge of employee benefits administration and compliance with labor laws.
