About the position

The Benefits & Leave Administrator at Sharecare plays a crucial role in managing the day-to-day operations of various group benefits programs. This includes overseeing group health plans, short-term and long-term disability plans, dental and vision insurance, life insurance, accident plans, health savings accounts, flexible spending accounts, retirement plans, and wellness programs. The administrator will collaborate closely with the Benefits Manager and benefit analysts to ensure smooth management of employee enrollments, annual renewals, and the overall delivery of benefits to employees. This position also entails administering all leave requests and accommodations, particularly those that require specialized attention under laws such as the Family and Medical Leave Act (FMLA) and the Americans with Disabilities Act (ADA). The role demands a strong focus on customer service and effective communication skills to support employees in navigating their benefits and leave options. In this position, the Benefits & Leave Administrator will serve as a key contact for benefit plan vendors and third-party administrators, ensuring that all processes are executed efficiently. Responsibilities include coordinating the transfer of data for services, premiums, and plan administration, as well as documenting and maintaining administrative procedures for assigned benefits processes. Compliance with government regulations is paramount, and the administrator will ensure that all reporting and fees are timely and accurate. Daily benefits processing will be coordinated with the benefits team, and the administrator will handle various tasks such as enrollments, COBRA, terminations, status changes, and claims related to disability, accidents, and workers' compensation. Additionally, the administrator will maintain employee benefit files, manage the group benefits database, and update payroll records as necessary. Providing customer service support to both internal and external customers is a key aspect of this role. The Benefits & Leave Administrator will also assist the Benefits Manager in training and supporting colleagues and the HR team, manage benefit adjustments for payroll processing, and oversee the leave of absence process, including the Paid Maternity Leave program. The position requires drafting and recommending revisions to company leave policies to ensure compliance with applicable laws and maintaining accurate records of leave and accommodation requests. Confidentiality of employee medical documentation is critical, and the administrator must stay informed about all relevant leave and accommodation laws.

Responsibilities

  • Serve as a key contact for benefit plan vendors and third-party administrators.
  • Coordinate transfer of data to external and internal contacts for services, premiums, and plan administration.
  • Document and maintain administrative procedures for assigned benefits processes.
  • Ensure compliance with applicable government regulations and timeliness of required reporting and fees.
  • Coordinate daily benefits processing with the benefits team.
  • Handle enrollments, COBRA, terminations, status changes, beneficiaries, disability, accident and death claims, and worker's compensation claims.
  • Oversee maintenance of employee benefit files and maintain group benefits database.
  • Provide customer service support to internal and external customers.
  • Assist Benefits Manager in providing training and support to all colleagues and the HR team.
  • Manage and track benefit adjustments for biweekly payroll processing.
  • Manage and execute the leave of absence process for all colleagues and the collection of benefit premiums.
  • Oversee the return-to-work process for employees returning from extended FMLA, workers' compensation, or other leave(s).
  • Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws.

Requirements

  • Bachelor's Degree in human resource management or related field preferred.
  • 3+ years of related benefits experience.
  • 2+ years of related leave administration experience.
  • Completion of specialized certification or training on FMLA/leave administration a plus.
  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
  • SHRM-CP, PHR, or CEBS professional designation preferred.
  • Workday experience preferred.
  • Excellent verbal and written skills.
  • Excellent communication and organizational skills.
