About the position

The Benefits & Payroll Specialist II at First Technology Federal Credit Union plays a crucial role in the administration of retirement benefits, leave management, and payroll support. This position is responsible for ensuring the timeliness and accuracy of payroll processes while responding to employee inquiries regarding leaves of absence, retirement plans, and payroll-related issues. The specialist will administer employee savings plans, including the company's 401(k) plan, pension, and deferred compensation programs, and will manage the annual catch-up contribution enrollment. Compliance with federal and local regulations, audits, and non-discrimination laws is a key aspect of this role. In addition to managing retirement benefits processing, the specialist will handle enrollments, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships, and compliance testing. The role also involves conducting audits for each payroll processed, including final audits, audits of termination checks, quarterly tax reconciliation, and responding to accounting reports and requests. The specialist will process deductions in arrears for biweekly payroll management and annual back-office adjustments, and will partner with the benefits team for COBRA support and gross-up requests. The Benefits & Payroll Specialist II will also provide backup support for payroll processing, which includes auditing and updating timesheets, processing garnishments, and benefit deductions. Ensuring accurate and timely payroll input, output, and delivery is essential to the success of this position. The role requires a strong understanding of employment and labor laws, as well as the ability to develop and implement new policies, procedures, and programs.

Responsibilities

  • Administers employee savings plans including the company's 401(k) plan, pension, and deferred compensation programs.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts.
  • Manages the annual catch-up contribution enrollment.
  • Ensures organizational compliance with federal and local regulations, audits, and non-discrimination laws.
  • Assists with the open enrollment process and provides backup support for others on the benefits team.
  • Coordinates retirement benefits processing, handling enrollments, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships, and compliance testing.
  • Conducts audits for each payroll processed, including final audit, audit of termination checks, quarterly tax reconciliation, and responding to accounting reports and requests.
  • Processes deductions in arrears for biweekly payroll management and annual back-office adjustments.

  • Administers Trees in Memory program.
  • Provides backup support for processing payroll, including auditing and updating timesheets, processing garnishments and benefit deductions, etc.
  • Ensures accurate and timely payroll input, output, and delivery.

Requirements

  • Bachelor's degree (preferably in Human Resources, Business Administration or other related fields of study).
  • Minimum 3 years' experience in human resources with a concentration in benefits design, retirement programs, and/or payroll.
  • Certification/License: PHR/SPHR, SHRM CP/SCP or CEBS preferred.
  • Proficient in developing and implementing new policies, procedures, and programs.
  • Ability to develop and coordinate projects and timelines.
  • General administrative support experience with an understanding of basic Payroll concepts including timesheet tracking, accruals, tax set-up, and garnishments.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements affecting employee benefits programs, including ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, OBRA, and Social Security and DOL requirements.
