About the position

The Bezos Center for Sustainable Protein at North Carolina State University is seeking a Program Specialist to join its dynamic team. This position is integral to the Center's mission, which is supported by a substantial $30 million grant from the Bezos Earth Fund. The Program Specialist will perform a wide variety of complex administrative functions, providing specialized program support to ensure compliance with university policies and procedures. This role serves as the administrative liaison between the Center and other campus units as well as external clients, ensuring that all operations run smoothly and efficiently. In this role, the Program Specialist will work closely with the Finance Manager to manage administrative tasks, including purchasing, travel arrangements, and account management for staff, students, and faculty. The position requires exceptional customer service skills, as the Program Specialist will be responsible for disseminating information, responding to inquiries, and providing support to resolve challenges as they arise. The successful candidate will be adept at multitasking and will possess strong communication skills, both oral and written, as they will frequently interact with students, faculty, and external partners. Key responsibilities include compiling and updating business and technical information, documenting meeting minutes, planning and coordinating events, and managing membership activities. The Program Specialist will also be responsible for compiling and analyzing data for reports, grants, and contracts, as well as writing and editing various proposals and publications. This position requires a proactive approach to improving business practices and ensuring that the Center's operations align with its goals and objectives.

Responsibilities

  • Perform a wide variety of complex administrative functions with specialized program support for the Bezos Center.
  • Ensure compliance with University rules, policies, and procedures as well as deadlines set by internal and external entities.
  • Act as the administrative liaison of the unit with other campus units and external clients.
  • Manage administrative, purchasing, travel, and account management support activities for staff, students, and faculty.
  • Disseminate information and respond to inquiries on processes and policies in an accurate, courteous, and timely manner.
  • Compile and regularly update business and technical information related to the unit for internal and external use.
  • Document and distribute meeting minutes and other important business memos.
  • Plan, publicize, coordinate, and evaluate Center meetings, special events, and public relations activities.
  • Communicate on behalf of the Center and its leadership to both internal and external clients/offices.
  • Initiate and maintain analytics related to Center activities.
  • Compile and analyze data for a variety of reports, grants, contracts, and programs.
  • Write and edit various proposals, reports, publications, speeches, and articles.
  • Review and continuously improve unit business practices.
  • Manage membership activities and sponsored project accounts.

Requirements

  • Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
  • Advanced skills with Microsoft Office, including Word, Excel, and PowerPoint (or similar software).
  • Proficient with tools in Google Workspace and Zoom Workplace.
  • Excellent oral and written communication skills.
  • Excellent organizational and multitasking skills.
  • Ability to work independently and collaboratively with internal and external stakeholders.
  • Exceptional customer service skills.
  • Familiarity with event planning and coordination.
  • Experience in program support, administrative functions, or a similar role.
