About the position

We are a small personal injury law firm located in Burbank, specializing in personal injury and tenant rights. We are currently seeking a bilingual front desk receptionist to join our team. The ideal candidate will be responsible for managing the front desk operations, ensuring a welcoming environment for clients and visitors, and providing essential administrative support to our legal staff. This role requires a strong understanding of office administration and excellent communication skills, particularly in both English and Spanish. The receptionist will play a crucial role in the first impression of our firm, and as such, professionalism and a friendly demeanor are essential. The position involves a variety of tasks, including answering phone calls, scheduling appointments, and maintaining filing systems. The successful candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced environment.

Responsibilities

  • Welcoming clients and visitors upon arrival at reception
  • Answering, screening, and forwarding phone calls in a professional manner
  • Assisting clients and visitors with the location of legal staff
  • Scheduling and confirming appointments
  • Observing business etiquette, and maintaining a professional appearance
  • Directing the flow of mail, faxes, and deliveries to reach the intended recipients
  • Maintenance of established filing systems, including correspondence, reports, and records
  • Assisting with copying, scanning, faxing, emailing, entering notes
  • Preparing meeting facilities, and arranging refreshments, if required
  • Updating client logs

Requirements

  • High school diploma or GED
  • Bilingual - English & Spanish REQUIRED
  • Formal qualification in office administration, secretarial work, or related training
  • Prior experience as a legal receptionist a plus
  • Familiarity with legal terms, legal documents, and filing
  • Excellent written and verbal communication skills
  • Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems
  • Exceptional interpersonal and communication skills
