About the position

The Bid Clerk at MasTec Civil is responsible for providing essential administrative support to the estimating department, primarily under the guidance of the Estimating Department Manager. This role requires a high level of motivation, strong analytical skills, and the ability to maintain confidentiality while interacting with various departments. The Bid Clerk plays a crucial role in managing bid processes and ensuring effective communication with subcontractors and suppliers.

Responsibilities

  • Control all incoming/outgoing correspondence.
  • Search bid solicitation websites to identify projects to bid.
  • Order bidding documents and coordinate documents on company network.
  • Assist management to coordinate insurance and bond requirements.
  • Send invitations to bid to subcontractors and suppliers.
  • Receive and coordinate subcontractor and supplier proposals.
  • Assist project management with preparing and issuing subcontracts and purchase orders.
  • Assist project management with processing of shop drawings.
  • Answer phone calls & take messages.
  • Answer routine questions and/or follow through on routine requests.
  • Compile and update all information for the Procedures Manual.
  • Update all databases with subcontractors and maintain communication with each as necessary.
  • Organize documents to facilitate prompt retrieval & enable the presentation of Contract Compliance issues.
  • Maintain filing system for Contractor Compliance and/or Affiliates.
  • Provide miscellaneous support to project/department staff as required.

Requirements

  • Associate in Arts (AA) or Associate in Science (AS) degree.
  • Good organization skills and strong verbal and written communication skills.
  • Ability to learn quickly and develop new skills.
  • Proficiency using a personal computer and Microsoft Software (Excel, Word, PowerPoint, Outlook).
  • Strong focus to meet and exceed company requirements and expectations.
  • High work values, integrity, and ethical standards.
  • Preferably past working experience with a Construction General Contractor company.
