About the position

The Bid Coordinator plays a crucial role in the Estimating Department of a nationwide commercial general contractor. This position involves supporting the team by coordinating with trade contractors, suppliers, and internal personnel, ensuring smooth communication and efficient project management. The role requires strong organizational skills and proficiency in various software applications to maintain project records and facilitate administrative tasks.

Responsibilities

  • Correspond and coordinate with trade contractors, suppliers, and company personnel.
  • Make phone calls and send emails/faxes professionally.
  • Secure trade contractor proposals for projects.
  • Use Microsoft Outlook proficiently.
  • Create, update, and maintain project and database records, both digitally and physically.
  • Utilize Microsoft Office/Office 365, OneDrive, and web-based software and databases.
  • Gather, input, and modify records during workflow.
  • Perform general clerical duties such as receiving calls and routing them appropriately.
  • Take and distribute messages and organize meetings/appointments.
  • Print, file, scan, photocopy, and produce reports.
  • Maintain confidentiality about proprietary information.
  • Coordinate with office personnel to facilitate a smoothly run project.
  • Perform other ad hoc duties as required.

Requirements

  • High school diploma or equivalent required; college education is a bonus.
  • 1 to 2 years' administrative and/or customer service experience, preferably in the construction, architectural, or engineering industries.
  • Proficient in Microsoft Office programs.

Nice-to-haves

  • Experience in the construction industry is a plus.
  • Articulate, clear, and concise language skills.
  • Self-motivation and ability to work independently.
