About the position

We are seeking a highly organized and detail-oriented Bilingual Admin Assistant to join our team in Katy, TX. This full-time position is essential for providing administrative support to our office and ensuring that all administrative tasks are completed efficiently and accurately. The ideal candidate will possess excellent communication skills, be fluent in both English and Spanish, and have experience with office software and project coordination. The role requires a proactive individual who can manage multiple tasks while maintaining a high level of professionalism and attention to detail. As a Bilingual Admin Assistant, you will be responsible for managing and maintaining the office phone system, which includes handling incoming calls and ensuring that all messages are properly recorded and relayed to the appropriate staff member. Providing exceptional customer service to clients and colleagues is a key aspect of this role, as you will be answering questions and addressing concerns in a timely and professional manner. You will also assist with the coordination of projects, ensuring that all deadlines are met and that all project materials are properly organized and stored. In addition, you will use QuickBooks to maintain accurate financial records and manage the office budget. Your duties will include performing various administrative tasks such as filing, data entry, and scheduling appointments. Utilizing computerized systems to automate tasks and increase office efficiency will be part of your daily responsibilities. Maintaining a clean and organized office environment is crucial, as is handling all incoming and outgoing mail, preparing and sending documents and reports as needed, and assisting with special projects, including preparing reports and presentations.

Requirements

  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Strong organizational and administrative skills.
  • Experience with real estate administrative tasks preferred.
  • Familiarity with phone etiquette and a professional demeanor.
