About the position

The Bilingual Administrative Assistant at SHARE Sonoma County is responsible for providing essential office administrative support to a nonprofit organization focused on affordable housing solutions. This part-time role involves maintaining daily office operations, managing communications, and assisting with client intake processes, all while fostering a positive team environment and supporting the organization's mission to serve vulnerable populations.

Responsibilities

  • Provide office administrative support for SHARE, a 501c3 nonprofit agency.
  • Maintain a daily office presence at the SHARE offices.
  • Track incoming mail and notify staff of mail deliveries.
  • Correspond through both email and US Post Office.
  • Print and photocopy documents as needed.
  • Liaison with the Executive Director and staff.
  • Coordinate 'Thank You' notecards for donations received.
  • Maintain monthly tenant rental payment log and bank deposits (training provided).
  • Facilitate intake/client phone work/client application process (training provided).
  • Facilitate Zoom SHARE Team and outside agency meetings.
  • File physical documentation to keep client folders up-to-date and in compliance with client record-keeping mandates.
  • Greet visitors at reception.
  • Update job knowledge by participating in educational opportunities and maintaining professional networks.

Requirements

  • Bilingual in Spanish and English preferred.
  • 3 years of administrative experience required.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Google Docs.
  • Ability to maintain a can-do attitude and be extraordinarily flexible and adaptable.
  • High-level energy and efficient work ethic; goal-oriented.
  • Ability to work in a team environment and provide a positive team spirit.
  • Strong initiative and ability to work independently.
  • Excellent organizational and time management skills.
  • Compassionate listening skills and problem-solving abilities.
  • Experience with clients, particularly those with emotional disabilities or in the aging population is a plus.

Nice-to-haves

  • Proficiency in fair housing rules and regulations is a plus.
  • Experience with Salesforce database entry (training will be provided).
  • Experience working with the homeless population or aging population.
