A global company based in Miami is seeking a superstar Executive Assistant to support two C-level executives in the corporate office. The Executive Assistant will provide a range of administrative support, including managing calendars, handling incoming telephone calls, scheduling travel, organizing files, submitting expense reports, and performing accounting administration for the assigned senior firm members. Collaboration with other team members is essential to ensure proper backup coverage when required. The role also involves producing accurate and properly formatted documents and reports, often under tight time constraints. Additionally, the Executive Assistant may support the planning and execution of major projects, conferences, and other off-site meetings. Building strong ongoing rapport with assistants supporting client executives is crucial, as is actively managing correspondence on behalf of the assigned senior firm members. The Executive Assistant will also assist the Office Manager with the development and implementation of strategic initiatives and special projects, such as employee purchasing programs and contract renewals. This position is a key support role that contributes to the overall efficiency and effectiveness of the executive team.

Responsibilities

  • Provide a range of administrative support for assigned senior Firm members, including calendar management, incoming telephone calls, travel scheduling, file organization, expense report submission, and accounting administration.
  • Produce accurate and properly formatted documents and reports under tight time constraints.
  • Support the planning and execution of major projects, conferences, and other off-site meetings when needed.
  • Develop strong ongoing rapport with Assistants supporting client executives.
  • Actively manage correspondence on behalf of assigned senior Firm members.
  • Assist the Office Manager with the development and implementation of strategic initiatives and special projects.

Requirements

  • Bilingual (English/Spanish); any additional languages are a plus.
  • Strong organizational, communication, and interpersonal skills.
  • Desire to deliver great service.
  • Proactive with strong attention to detail.
  • Possesses poise, presence, and professionalism.
  • Able to effectively manage shifting deadlines and priorities.
  • Basic business knowledge.
  • Solid knowledge of Windows, Lotus Notes, and MS Office.
  • 3-5 years of administrative assistant experience in a business environment, working for senior-level staff.
  • Bachelor's Degree or equivalent work experience.
